We are looking for a skilled Administrative support specialist to perform a variety of day to day tasks.
Responsibilities
- Answers multi-line telephone system, accurately routes calls, takes messages and directs incoming calls to outside agencies when appropriate.
- Greets individuals at the front desk and, in compliance with Clinic Visitor policy, directs them to appropriate persons or locations orrefers them to other agencies as appropriate.
- Disseminates basic information regarding Clinic policies and services to potential clients and the general public.
- Checks clients in for appointments and notifies appropriate clinical staff.
- Verifies eligibility for Medi-Cal and other insurance plans; collects client payments and issues receipts.
- Coordinates and provides admission packages for new clients, verifies completed paperwork and communicates related issues to clinicians or to management.
- Oversees waiting area. May be required to supervise the behavior of clients in the waiting room.
- Develops and maintains staff daily master schedules.
- Maintains the client record filing system; files documents; retrieves and files client records in accordance with county contract provisions and Clinic policy.
- Maintains client record location data for all records removed from the files; resolves issues related to the location and proper filing of client records; and may assist in the search and retrieval of client records.
- Receives, distributes and notifies staff of various deliveries.
- Maintains the front office in a neat and organized manner.
- Provides Spanish translation upon request.
Skills
This position requires a high school diploma or any equivalent combination of education and experience which provides the required knowledge, skills and abilities; three years of general office/receptionist/file clerk/data entry experience, preferably in a health-care environment.
Requires knowledge of standard office procedures; alphabetical, numerical and chronological sequences; proper spelling, grammar and punctuation; ability to operate various office machines, operate a computer at beginning to intermediate level; forty (40) wpm typing/keyboarding speed. Skills to be demonstrated by testing.
Requires the ability to demonstrate effective telephone communication skills; demonstrate effective public relations skills in dealing with the public, clients and staff with courtesy and diplomacy; demonstrate effective organizational skills. Ability to read and follow written instructions, understand and follow oral instructions; remain current regarding policies
