Responsibilities:
Admin II
• Ensure that all CVR policies and procedures are distributed, understood and implemented by all assigned center staff members
• Ensure compliance in all assigned centers that all patient charts are up to date, HIPAA compliant, proper input of demographics, procedures, payments into NextGen
• Review scheduling and financial responsibilities and referrals with each patient throughout care.
• Send precertification forms at the close of business daily to the Precertification Department to account for all patients that require authorization prior to services being rendered
• Ensure centers are compliant with the collection and data input for one month surveys
• Ensure that the Surgical Assistant completes the inventory count daily and uploads to the team site
• Confirm that assigned centers perform/complete the Daily Close correctly at the close of business each night
• Communicate with the Regional Director if there are any issues in the center; including maintenance, employee relations, patient/employee incidents, inventory issues, etc.
• Notify the Regional Director if the center is running out of capacity or backlogs become necessary for any type of appointment
• Ensure that the Clinic Checklist is completed
• Review future schedules to confirm that all patients have been preauthorized for treatment
Admin I
• Greet patients in a friendly and professional manner
• Answer the phone in a friendly, timely, and professional manner
• Obtain all new patient forms, properly update in NextGen/ HER; ensure that patient records are up to date in EHR/ NextGen
• Compile and record medical charts; accurately keep medical records
• Collect necessary paperwork for patient appts such as authorizations, referrals, etc.
• Collect copays and patient balances at time of service
• Schedule and confirm appointments; collect email addresses from patients
• Provide assistance to patients, other admin and clinical staff to ensure efficient patient flow through the office
• Train new hires as needed
• Complete daily Billing tasks as well as the Operative notes
• Submit fee tickets at the end of the day
• Maintain the appearance and function of all office equipment and facilities
• Maintain inventory of operational materials and supplies
• Respond to all emails and calls in a timely manner
• Attend/ complete company meetings and/ or training as assigned
• Perform all other duties as assigned
Qualifications
Minimum Requirements:
• High School Diploma or equivalent required; Associates Degree preferred
• Minimum of 1 year in administrative experience, preferably in a medical office
• Must have reliable transportation to clinics that may not be accessible to public transportation.
