Organizational Services Coordinator: Consulting and Executive Search Services

Position Type: Full-time, non-exempt

Reporting To: Chief Capacity Building Officer

Location: 1 McInnis Parkway, Suite 175, San Rafael, CA 94903

Position Description:

We are looking for a dynamic, collaborative, detail-oriented, and tech-savvy assistant to provide administrative support to our Consulting and Executive Search Services. This person will perform broad administrative functions in a range of capacity building support services.

Position Overview: Reporting to the Center’s Chief Capacity Building Officer, the Organizational Services Coordinator (OSC) supports the development and implementation of our consulting and executive search services that build the capacity of the nonprofit sector across the North Bay.

For consulting services, the OSC maintains core administrative systems related to client communications, marketing, proposal development, contracting, invoicing, and client engagement evaluations.

For the executive search services, OSC assists the Director of Executive Search in all stages of the recruitment process for top executive and C-suite talent for nonprofit organizations in the greater Bay Area. This position maintains workflow for the executive search process and department. The Assistant works collaboratively and communicates effectively with the Director, clients, candidates, and CVNL staff to ensure a smooth, high-functioning work environment while maintaining diplomacy and ensuring confidential matters are handled appropriately.

The OSC provides outstanding administrative skills with strong attention to detail to ensure accuracy and to successfully fulfill Executive Search department goals.

Responsibilities:

  • Provide departmental support to the leadership staff of Consulting Services, and Executive Search to cultivate and maintain strong relationships with the nonprofit community
  • Respond to general inquiries about CVNL’s programs and services and provide resource information and referrals
  • Assist in creating marketing content, outreach plans, and online pages for Consulting and Executive Search services
  • Prepare and process all client/consultant agreements and invoices, and maintain records on all organizational service assignments
  • Assist in data entry and report generation using the CRM database,
  • Gather data and prepare proposals and reports to organizational clients
  • Conduct a variety of research in support of capacity building projects in service to organizational clients
  • Collaborate with marketing and events team on internal and external constituent needs

Qualifications:

  • Excellent customer service skills
  • Three years’ experience or equivalent in providing administrative support in a service oriented setting
  • Excellent written and verbal communication skills
  • Experience managing and analyzing numerical and qualitative data
  • Initiative and independent working style that demonstrates continuous effort to improve operations and provide exemplary service
  • Strong organizational skills with ability to meet deadlines and manage multiple projects, timelines, budgets, and outcomes
  • Maintain confidentiality of information and materials
  • Effective in communicating and working with diverse audiences
  • Able to work well both independently and in a team environment
  • Strong technology skills including knowledge of MS Office (Excel, Outlook, PowerPoint) and comfort in learning new technology for data and project management

Physical & Travel Requirements:

  • Ability to work occasional nights and weekends to support events/special projects.
  • Able to travel throughout Marin and Bay Area.
  • Routine moving and lifting of books, project materials, and technology equipment in meeting spaces.
  • In addition to basic computer desk work, the employee is required to stand, walk, reach above shoulders, and climb or balance. The employee may occasionally lift and/or move up to 25 lbs.

Salary and Benefits:

$21-$23.67 per hour.

Vacation: 12 days in year 1, 15 days in year 2. 12 Sick days per year and 12 Holidays.
