This position typically works Monday-Friday from 8am-5pm in the office. Supervisory Duties: None Summary: The CFP Specialist provides direct administrative assistance to Trust Administrators to maintain the daily workflow and service client / account relationships. The CFP Specialist works closely with administration to respond to client questions and requests when the administrator is unavailable. The Specialist processes transactions including collection of documents, collection of assets, preparation of disbursements, and initiation of trade requests. The Specialist may work with other parties, including attorneys, financial advisors, beneficiaries, and other partners to service client needs. This position requires a high degree of confidentiality, accuracy, and thoroughness while assisting clients and leveraging our Essentials of Excellence standards. Essential Duties: Comprehend the Bank’s fiduciary duty to our clients. Provide accurate record keeping and maintain files according to Bank policy. Provide World Class Service commensurate with the retention and growth of the Bank’s client base. Utilize the trust accounting system to maintain accounting records, open/close/transfer trust accounts, initiate bill-paying, prepare internal debits/credits, deposits, disbursements, and account coding per instructions from Trust Officers. Establish rapport and cross-sell bank products and services when appropriate. Review the various governing instruments to comprehend terms and duties of the Bank. Maintain account records in accordance with governing instruments, including trust/legal documents, retirement plan documents, and service agreements. Regularly review client accounts and client’s cash positions to ensure accounts are properly setup and operating within established guidelines. Assist in preparing Court Accountings for Estates and Guardianships. Compose correspondence for client communication. May serve as appointed Notary Public as needed within the team. Maintain compliance through consistent execution of processes and procedures. Other Duties: Answer department primary phone line. Provide coverage and assistance to other CFP Specialists. Knowledge, Skills, and Abilities: Able to work independently and efficiently utilizing workflow solutions Develop knowledge of accounting/operating systems Proficiency in Microsoft Products and Smart Sheet Must exhibit reason when dealing with difficult topics Excellent written and administrative skills including attention to financial detail Exercise independent judgement, discretion, and confidentiality with client and associate files Communicate effectively and professionally with all levels of clients and team members. Attend internal/external training, educational opportunities for personal development and complete required online learning courses. Minimum Qualifications: 2 – 5 years of retail banking or administrative experience in Wealth, another bank department, or in a legal or accounting environment.
