Responsibilities:
The ideal candidate must be able to perform the following essential job functions with or without reasonable accommodations:
- Handle daily scheduling for internal/external meetings and appointments, with rapid notification of schedule change
- Support clinical leadership
- Maintains record keeping and filing systems
- Obtain authorization for services and schedule necessary appointments to bring clients through the process to obtaining ABA Therapy
- Ensure all clients begin therapy within one week after receiving the authorization
- Coordinates and implements ABA Therapy Schedule
- Attends and participates in meetings, conference calls, and Case Opens as required
- Maintain working knowledge of different programs, certifications, and payors
- Ensures compliance with internal and external guidelines, requirements and regulations
- Resolve any complaints or compliance issues in a professional manner
- Record issues, complaints, and all other communication with clients and care team in ABA Advantage (Electronic Medical Records Software)
- Attends and participates in meetings, conference calls, and Case Opens as required
- Develop and take on projects to improve client service and satisfaction
- Develop and take on projects to improve employee performance, retention, and satisfaction
- Responds to all inquiries from families, prospective families, payors and field team members with professionalism and returns all calls within 24 hours
- Multitask and prioritize a wide range of projects in a fast-paced environment
- Fully displays the company values and works towards achieving our mission
- Other administrative duties as requested
Required Qualifications, Skills, and Knowledge:
- Bachelor's degree (preferred), or equivalent experience
- Minimum of six months of experience in an Administrative Assistant or customer service role.
- Highly organized, with attention to detail and a dedication to resolving issues.
- Ability to multi-task and complete tasks in a timely manner.
- Must work effectively and harmoniously within a team environment.
- Ability to display a high level of integrity and professionalism in dealing with people at all levels.
- Ability to utilize diplomacy, discretion and good judgement at all times, especially when exposed to sensitive or confidential information.
- Ability to identify critical issues quickly, navigate priorities, resolve issues or make recommendations /strong sense of urgency.
- Displays a positive and approachable personality.
- Strong written and verbal communication skills.
- Experience using the G-Suite of products as well as Microsoft Office
Working Conditions:
Centria’s office hours are Monday through Friday from 8:30am-6:00pm. Additional time may be required to complete above work or meet company objectives.
Physical Requirements:
While performing the duties of this job, physical requirements such as bending, reaching and lifting of up to 50 pounds may be required. This role will require sitting a majority of the day as well as walking as standing when needed. This role will require close visual activity on multiple computer screens or monitors and the ability to analyze data and figures on a screen.
