Description of Position – The Service Administrator assists the Service Director with daily tasks within the parameters of the Service Department.  This includes fielding service calls and scheduling technicians to resolve customer concerns.

Organizational Relationships – The Service Administrator reports to the Service Director. Normal inside contacts will include all employees of TEC front office, shop, and field. Outside contacts will include existing clients, customers, and other related industry contacts.

Job Duties and Responsibilities

• Conducts reviews of closed work orders to ensure warranty opportunity has not been missed
• Prepares work orders for the Service Director by adding notes, time, and mileage to the work orders in the system
• Catalogs warranty parts for validation on manufacturer’s request
• Maintains Compliance with Manufacturer’s issued Service Bulletins
• Prepares damage letters and send to customers
• Maintains photographic and physical evidence relating to customer damage
• Directs the supply of parts to shop mechanics, other branches and customers.
• Screens and prioritizes service calls to meet customer needs
• Assures that equipment is available as required
• Orders parts in order to maintain adequate supplies
• Works with equipment vendors to learn the maintenance requirements and capabilities of new equipment added to inventory

Qualifications

Requirements of the Position

• Education and Certification – High school diploma or equivalent; one-year certificate from a college or technical school is preferred
• Recommended Work Experiences – Minimum of 5 years of experience within a Parts or Service Department; Valid driver’s license and satisfactory driving record; Knowledge of heavy equipment, specifically excavators, forklifts, and compactors

• Physical Demands – Prolonged standing, sitting, walking, climbing, balancing, bending, stooping, kneeling, crouching, crawling, reaching (with arms and hands), handling, talking, hearing, depth perception, lifting, vision (close, peripheral, depth, ability to adjust focus), and lifting/moving up to 35 pounds
• Working Conditions – Considerable local and non-local travel may be required; Work with a group and/or team; Frequent conflict situations may be present; Work after normal business hours; Potential hazardous work; Frequent exposure to extreme outside weather conditions and high levels of noise
