The Exhibits Coordinator will support multiple projects throughout their development cycle, under the direction of the Exhibits Manager. The role will serve as an integral part of the team, carrying out administrative aspects of the installations and exhibitions in their assigned role, with the goal of facilitating projects to assist in the creation, installation, and ongoing monitoring of exhibits.
- Essential Job Duties
- Assist in a variety of tasks including but not limited to; creating and organizing documents and files that track exhibit development, preparing and packaging files for distribution to internal partners and external vendors
- Assisting with artifact installation, exhibit and vehicle movements and removals.
- Maintaining presentation of vehicles on display.
- Archiving project documents, and interfacing with design and installation vendors.
- Must be highly collaborative, working with the NHOF team, colleagues throughout CRVA, and external vendors.
- Must be an excellent communicator, demonstrating clear, timely, and helpful documentation.
- The ideal candidate must be proactive, highly organized, collaborative, accountable, and have the ability to balance multiple tasks.
- The position requires considerable diplomacy, and discretion in the handling of sensitive information and treasured artifacts on loan.
- The work schedule is primarily Monday through Friday, with occasional nights and weekend hours during installation weeks and openings.
- Maintaining the presentation of artifacts and exceptional upkeep of exhibits on display
- Tracking and maintaining multiple project schedules
- Facilitating the teams’ forward movement by assisting with exhibit preparation and installation, scheduling meetings, preparing, and disbursing agendas and action items and facilitates productive meetings.
- Organizing project development documents created by the curatorial, exhibit, and external design partners throughout the lifecycle of a project for review by internal and external parties,
- Ordering exhibition supplies and liaising with outside vendors for fabrication and gallery work
- Documenting and archiving all exhibition and program related experiences
- Other duties as assigned.

- This job will have periodic access to confidential data including company records and/or minutes, customer quotes, product costs, and company plans, designs, and/or programs.
- This job has no supervisory responsibilities.
- Proficient in Microsoft Office applications: Word, Excel, Access, PowerPoint, and One Note. Experience with Microsoft Project and other scheduling software a plus
- Experience with or the ability to learn specialized software systems is required. Key skills include accurate data entry and generating reports.
- Professional and approachable, with excellent communication, organizational and interpersonal skills
- Detail oriented with the ability to multi-task, prioritize, and work under a deadline
- Ability to work independently and cooperatively as part of a time and facilitate teams of diverse personalities
- Flexibility, creativity, a positive attitude are essential
- Bachelor’s degree in public history, museum studies, or equivalent experience required
- Master’s Degree and or two years working in a museum preferred
- Excellent organizational skills, attention to detail, and ability to assist in the management of multiple projects simultaneously
- Collaborative nature, flexibility, self-direction and motivation, forethought, a proactive problem-solving approach
- Proven experience and success in project coordination and in meeting deadlines within fast-paced working environments
- At least one year demonstrated project coordination experience (tracking budgets, developing, and tracking schedules, organizing, and facilitating meetings, coordinating people is required)
- Experience working in a museum or cultural organization preferred
- Applicants should be able to climb and work on ladders
- Intermittent physical activity including walking, standing, twisting, sitting, bending, and stooping
- Applicants should have the ability to lift and/or move up to 25 lbs.
- Vehicles are an integral artifact feature in this museum; thus, this position requires the ability to push vehicles — with the rest of the installation team — on and off the exhibition floor during gallery changeouts and occasionally for after hour events
- Applicants should have the ability to work around paints, cleansers and other similar products in a gallery environment and work in spaces that collect dust
- Comfortable using and operating hand power tools a plus
- The noise level in the work environment is usually moderate.
