Position: Secretary of Information
Location: Chelmsford High School
Description: To assist the main office and administration by performing diversified secretarial and clerical assignments where judgment is required in the analysis of facts and circumstances surrounding individual problems or transactions, and the determination of action to be taken within the limits of accepted school practice.
* Perform diversified secretarial and clerical duties to assist administration and the main office with administrative details and main
office customer service, working closely with the faculty and staff, under the direction of the administration
* Act as a receptionist, use buzzer system, greet visitors and provide necessary information and direction
* Answer phone calls, use judgment as to taking messages or finding necessary to staff to attend to calls
* Place calls as required
* Maintain records and perform functions related to: Registration, Faxes, School Calendar, Daily Bulletin and generate
School/Town/State reports
* Maintain aspects of student and staff data in X2 database such as: Enrollment/withdrawals, attendance, schedules, grade posting
periods,transcripts, post graduate transcripts, student scheduling, etc.
* Update and maintain graduate and post graduate transcripts
* Provide data entry duties
* Sort Payroll, mail and faxes
* Maintain all work area equipment as necessary to accomplish responsibilities
* Assist with changes and data entry for tasks related to scheduling
* Support with Student of the Month Program
* Distribute and log Field Trip requests
* Maintain work area and equipment in neat and orderly fashion
* Prepare letters, reports, memoranda, policies, bulletins and other materials
* Back up to the Main Office Secretary, Vestibule and Principal's Secretary as needed
* Perform other related duties as required or as directed.
Qualifications:
* Knowledge of specialized field of education involving administrative techniques, methods, and procedures.
* High School Diploma plus additional broad specialized training equal to two (2) years experience.
* One to three (1-3) years experience as a secretary.
* Ability to multi-task in a busy environment.
* Promote friendly, professional environment for staff, students, parents, and other visitors.
* Must be resourceful, take initiative, and work as a team player.
* Competency using word processing, spreadsheet and accounting software.
* Strong verbal and written communication skills, including proper use of grammar.
* Capable of handling detailed and confidential information.
* Able to use databases, Aspen X-2, Microsoft Office, website maintenance
* Such alternatives to the above qualifications as may be found appropriate and acceptable.
REPORTS TO: High School Principal
TERMS OF EMPLOYMENT: Work year 195 days, 7.5 hrs per day.
Starting Salary: as per collective bargaining agreement
