Job Description
Scope of Position:The purpose of the Accounts Payable Representative is to ensure that all expenses for the business, including all plants, are processed and paid in a timely manner while maintaining and building strong relationships with assigned vendors. The majority of expenses processed are for freight and for the purchase of raw materials.Job Duties and Responsibilities: Accounts payable - 85%o Process invoices and employee expenses for payment for the business as accounts payable is centralized in Torontoo Receive invoices, match against supporting documents (purchase orders, receiving records, etc.), investigate and resolve any discrepancies, obtain appropriate approvals when needed and process for payment. o Release employee expense reports entered in expense reimbursement software.o Communicate with and respond to vendors concerning payables issues (i.e. payment status; disputes; etc.).o File processed invoices for further retention activities (scanning/archiving) o Reconcile assigned vendor statementso Monitor GRNI (goods received not invoiced) for assigned vendors, work with internal business partners to keep GRNI currento Prepare weekly payment proposals ie. issue cheques and transmit EFT’s o Monitor and maintain Positive Pay Exceptionso Maintain vendor databaseSpecial Projects / Ad hoc Reporting – 10%o Participate in special projects / ad hoc reporting as assigned.As needed – 5%o Assist Purchasing personnel with files managemento Provide backup for vendor maintenanceMinimum Position Qualifications/Requirements:• High school diploma• College courses in Accounting are preferred• Minimum 2 years payables experience • Proficiency in MS Office Suite and accounting software knowledge (SAP preferred)• Strong verbal and written communications skills• Strong organization skills• Ability to multi-task and willing to learn new skills• Team focused and highly detail oriented• Ability to work effectively in a high growth environment and a rapidly changing organization• Experience is SAP would be a definite asset
