Position: Administrative Assistant
Department: Administration
Reports To: Deputy Director
Responsibilities:
- Answer agency phone lines and forward to appropriate staff/department and take messages whenever necessary
- Open, process, distribute, and log in all agency mail and assist in bulk mailings
- Make copies and gather mailings for all departments as needed
- Share information and work collaboratively with other agency personnel
- Order office supplies and ensure sufficient availability of copy paper, envelopes, staples, tape, etc. and other regularly used items.
- Provide technical assistance to staff with IT issues; act as liaison to external IT and copier vendors
- Negotiate renewal contracts of copiers, telephones, cell phones and all office products to ensure the best options are secured
- Provide administrative support to all agency events
- Participate in appropriate in-service training and agency events including but not limited to Annual Meetings
- Assume other responsibilities as assigned by the Executive Director and Deputy Director
Qualifications:
- Minimum High School degree and other trainings that relate to administrative duties
- Professional manner and good communication skills
- Works well independently and as part of a team
- Telephone communication, recording-keeping skills with a keen attention to detail
- Proficient knowledge of Microsoft Office programs and Adobe
- Bi-lingual (Spanish) preferred
Job Type: Full-time
Pay: $40,000.00 per year
