GENERAL DESCRIPTION
The Admin Support/Administrative Assistant is responsible for the Phoenix office operations and program support including coverage of the telephones and front desk. Responsible for general office operations including purchasing and management of equipment and supplies. Serves as the first point of contact for Child & Family Resources and provides administrative support. Handles the flow of people through the agency. It is essential to be Bilingual (English/Spanish) for this role.
This position is 30 hours per week. Benefits for this position, after 90 days, include 7.5 hours of vacation leave per month, 7.5 hours of sick leave per month, 22.5 hours of personal leave per year and 11 paid holidays. SUMMARY OF ESSENTIAL JOB FUNCTIONS
- Answers the telephone and communicates program information to the public.
- Provides direct administrative support to Vice President, Family & Community Services.
- Provides clerical support and assistance to program staff.
- Responsible for office receptionist area, copy and postage area, conference rooms and janitorial closet.
- Coordinate office building repairs, janitorial service, annual office inspections, and pest control services.
- Coordinate, schedule and assist in conference room meetings including room preparations, room arrangement, refreshments, clean-up, etc.,
- Purchases and manages office supplies and equipment.
- Train office personnel to use all new and present office equipment.
- Management of office petty cash, payables, credit cards, postage and making banking deposits, fleet vehicles, reimbursements, etc.,
- Take minutes at Advisory Council meetings and other Collaboration meetings.
- Attend All Staff meetings and other meetings upon request;
- Assist various programs, receiving referrals and data entry as needed.
- Coordinate travel arrangements for VP, Directors and all program staff.
- Maintain inventory of IT Equipment as well as coordinate services with IT Dept.
- Coordinate CFR Mandated Trainings including, but not limited to CPR and FA, Employee Orientation, etc.,
- Perform other related duties as assigned.
- Build and maintain relationships with community agency and partners to share program information and learn about resources available for families (events/outreach as assigned).
- Follow agency dress code and overall agency policies including when delivering virtual services.
- Organize and identify materials/supplies following program procedures.
- Follow all health safety policies and procedures.
- Maintain a safe, clean, and clutter-free work environment, including following fire codes.
- Maintain professionalism at all times.
- Identify and develop professional goals with Program Director.
- Other duties as assigned by Program Director.
REQUIREMENTS
- Strong oral and written communication and organizational skills.
- Proficiency in Microsoft Office including Word, Excel, PowerPoint and Outlook
- Sensitive to cultural diversity issues, including age, ethnicity, and lifestyle.
- Valid Arizona driver’s license with clean driving record, insurance, and automobile required.
- Adheres to agency policies and procedures.
- Must be fully Bilingual (English/Spanish).
- Comply with all agency and program policies and procedures including confidentiality, employee conduct, computer usage and dress code.
- Meet program/department’s performance and productivity standards.
- Attend required agency and program/department meetings.
- Adhere to the schedule agreed upon with the supervisor.

- Must have or be eligible and able to obtain a Level one-fingerprint card.

ABILITY REQUIREMENTS
- Sitting for extended periods daily; standing and walking short distances.
- Moderate twisting, bending, stooping and lifting up to 40 pounds in the performance of assigned duties.
- Ability to use a variety of office equipment and machines as referenced.
- Normal manual dexterity and eye-hand coordination required.
- Repeated hand-wrist movement required.
The nature of the position involves a fast-paced working environment with multitasking of many different duties and tasks. General daily priorities may change at a moment’s notice and the position requires quick response time and flexibility.

Pay: $16.00 - $17.00 per hour
