Job Description: The Intake Coordinator is the first contact for CBCST clients. He/She identifies and directly coordinates, provides contacts, refers, or otherwise arranges for individuals and/or families to receive services as needed. Through the effective execution his/her job duties, the Intake Coordinator minimizes client waiting lists and initiates a smooth transition into CBCST services.

ORGANIZATIONAL RELATIONSHIPS:
1. Reports to: Program Director or Assistant Program Director
2. Supervises: None
3. Other: Works collaboratively with Receptionist, Counselors, Associate Counselors, Interns, and Community Volunteers

ESSENTIAL FUNCTIONS/PERFORMANCE REQUIREMENTS:
Direct Duties
Provide essential services to individuals and families in crisis. Crisis intervention will be provided based upon a crisis evaluation to provide intervention and stabilization services to ensure client stability and safety.
Conduct initial/phone intake and screening of callers.
Manage intake process, including initial consult, schedule client appointments, documenting scheduled appointments, and record client participation as required in database.
Facilitate appropriate referrals to community-based partners.
Attend agency, program and staff/team meetings, peer consultations, and other meetings as assigned.
Maintain good relationships with stakeholders (including current and potential clients, community and co-workers), focusing on providing excellent and culturally sensitive customer service and presenting a positive image of the agency in all community and stakeholder interactions.
Maintain a working environment which encourages mutual respect, promotes respectful and congenial relationships between employees and is free from all forms of harassment.
Perform duties in accordance with the agency’s “team” philosophy.

Compliance
Ensure compliance with all policies set forth by the Children’s Bereavement Center of South Texas’ Board of Directors.
Maintain client and family member confidentiality in accordance with HIPAA standards and agency ethical standards.

QUALIFICATIONS:

Education/Training and Experience
Bachelor’s degree preferred or 1-year plus experience in case management. Master’s level counseling/social work degree encouraged.
Demonstrated knowledge of basic community resources and of making referrals and providing follow-up.
Experience with culturally, economically and otherwise diverse groups of people and communities.
Strong verbal and writing communication skills
Proficient use of computers, internet, social media, Microsoft Office suite of programs, and multi-line phone system
Prefer fluency in Spanish

REQUIRED CERTIFICATES AND LICENSES:
Certificate or license, as applicable, by appropriate state agency as a qualified practitioner.
State of Texas vehicle operator’s license and proof of liability insurance.

PHYSICAL DEMANDS

While performing the duties of this job, you must be able to stand, walk, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl, talk and hear, and taste or smell.
You must be able to lift up to 20 pounds, have close vision (to read printed materials and a computer screen), hearing and speech communication in person and over the phone.
Mobility to work in a standard office setting and use standard office equipment.

PRE-EMPLOYMENT REQUIREMENTS:
All prospective employees are required to provide a minimum of three professional references.
All prospective employees are subject to a criminal background check.
All prospective employees are required to present a copy of degree certificate(s) and/or proof of licensure(s).
All prospective employees must present a State of Texas vehicle operator’s license and proof of liability insurance.

POST-EMPLOYMENT REQUIREMENTS:
Current employees are subject to an annual criminal background check, generally in September. Continued employment is conditioned upon satisfactory results of the background check.
Current employees may be subject to interim and random testing for the presence of illegal and controlled substances in the event of a work-related injury. Continued employment is conditioned upon satisfactory results of the illegal and controlled substance test.

TIMES WORK WILL BE PERFORMED:
Monday thru Thursday, 9:00 am to 6:00 pm, Friday 9:00 am to 3:00 pm. CBCST hours of operation are extended and non-traditional and may vary based on job requirements. Employees are scheduled in a manner that is best suited to the delivery of client services.

COVID-19: Proof of full COVID-19 vaccination is required; possess the ability to continue to comply with vaccination policy.
