Job Posting for Front Desk Administrator / Patient Services Coordinator at Children's Dentistry of Maui
Overview: We are seeking a highly organized and customer-oriented individual to join our team as a Front Desk Administrator / Patient Services Coordinator. As the first point of contact for our patients, you will play a crucial role in providing exceptional customer service and ensuring a smooth check-in and check-out process. Responsibilities:
Keep daily schedule full and schedule to daily and monthly goals.
Responsible for for answering the telephone and answering patient questions.
Complete appointment confirmation calls.
Responsible for updating and tracking patient correspondence.
Reminder calls for all overdue patients.
Responsible for maintaining a full schedule.
Follow up on and reschedule no-shows and cancellations on the Unscheduled list.
Check Patient Chart records for any incomplete treatment.
Schedule the next re-care visit for each hygiene patient seen during the day to ensure no one is missed.
Research insurance eligibility, benefits, and limitations, and verify chart has complete insurance information for upcoming patient appointments.
Scan all proper documentation and upload new patient forms.
Record new holiday voicemail message - if needed.
Post patient charges, patient payments, and credits into the computer daily.
Register new patients and provide necessary forms (welcome letter, patient information, and office policy).
Stand up to greet and welcome patients by name and check in patients.
Update patient family file: name change, address, mobile, insurance, and employment changes, email addresses, fee schedule, splitting accounts, ledger transfers, etc.
Keep staff and doctor informed of the next available opening and possible no-shows. Inform staff and the doctor on any schedule changes.
Keep patients informed of expected waiting time if needed.
Collect and process over-the-counter payments.
Ensure extraordinary patient experience.
Additional tasks assigned as required.
Requirements:
Previous experience as a Front Desk or in a similar customer service role is preferred
Proficient in using Dentrix or similar dental/medical software systems preferred
Familiarity with phone systems and basic office equipment
Strong communication skills, both verbal and written
Excellent organizational skills with the ability to multitask and prioritize tasks effectively
Knowledge of dental terminology is a plus
Ability to handle difficult situations with professionalism and composure
Must be flexible with a positive “can do” attitude
Must be comfortable on the phone and talking to parents and patients
Attention to detail is a must
Self-starter
Functional knowledge of MS Office
Works well in a team environment
Adhere to all practice safety and health regulations
