What are the responsibilities and job description for the Access Center Manager position at Choices CCS?

The Access Center Manager is an employee of Choices Coordinated Care Solutions (Choices) but part of a collaborative initiative from Choices and Our Children Our Future (OCOF), the Allen County Systems of Care entity. The purpose of the Access Center is to expedite access to services and resources for youth and families. It builds a network of onsite and offsite organizations working together. The Access Center Manager will be primarily responsible for oversight of the Access Center. The incumbent will support and uphold a commitment to racial and ethnic equity and antiracism.

Essential Duties and Responsibilities

  • Articulates the mission, vision and practices of the Access Center, Choices, and the local system of care, Our Children Our Future (OCOF).
  • Communicates the needs and expectations of the Access Center to youth and families, community partners, and funders. 
  • Coordinates marketing efforts of the Access Center which includes: participating in the development of marketing materials, purchasing all marketing materials, is the primary outreach contact for presentations and events, and attends all marketing and/or outreach events.
  • Writes grants to sustain and increase the capacity of the Access Center.
  • Manages grants and various funding streams associated with the Access Center.
  • Provides all grant reports weekly/monthly/quarterly/annually to all granting agencies.
  • Ensures fiscal responsibility for Access Center operations.
  • Conducts internal audits as required or necessary.
  • Creates and coordinates partnerships, both on-site and off-site, that include collaborative meetings, a monthly on-site partner meeting, and creating appropriate MOU’s with the Access Center.
  • Attends all conferences, trainings, or meetings that will enhance partnerships with collaborators and funders, as well as, increase the overall effectiveness of the Access Center services.
  • Works with partners, collaborators, and advisory council to develop programs that may provide additional services to the community when opportunities arise.
  • Assists in building, supporting and maintaining an advisory council for the Access Center.
  • Supervises all Access Center staff, interns, and volunteers.
  • Oversees the daily operations of the Access Center including overseeing the on-site pantry, communicating with building management, ensuring on-site partners are aware of Access Center protocol, and other responsibilities as they arise.
  • Provides all training necessary to the Access Center staff.
  • Attends and/or coordinates community coalition meetings.
  • Reports out all data collected by the Access Center to community partners and collaborators.
  • Makes all necessary updates to policies and procedures as needed and ensures they are followed by all Access Center Staff.
  • Adheres to the policies and protocols established by Choices and Our Children Our Future.
  • Incorporates the guiding principles and values of Systems of Care into their interactions with consumers, fellow team members, fellow staff and system partners.
  • Communicates effectively with Choices Management and OCOF leadership.
  • Follows established strategic plans and quality improvement procedures to achieve stated goals and enhance consumer experience with the Access Center. 
  • Ensures collection of all necessary service data.
  • Participates in scheduled meetings to review performance and quality indicators and makes recommended adjustments to improve the operation of the Access Center.
  • Willingly completes other duties as assigned to advance the mission of the Access Center.

  • Uses strengths-based supervision so each person supervised comes to know his/her own strengths and weaknesses and uses strengths in day-to-day work.
  • Ensures that each employee supervised has opportunities for personal and professional growth.
  • Provides clear expectations and effective supervision to assigned staff.
  • Addresses identified performance issues in a timely, consistent, and fair manner.
  • Completes annual performance evaluations and quarterly goal setting check-ins with assigned staff.
  • Provides direct supervision to assigned staff.

Qualifications

  • Bachelor’s degree in social work or related human services field.
  • Two years of experience in marketing, human services, and grant writing preferred.
  • Strong communication and writing skills.  Bi-lingual skills (Spanish) a plus.
  • Familiarity with Systems of Care values and principles.
  • Highly organized, and effectively manages multiple priorities simultaneously.
  • Professionally articulate in communicating (oral and written) service expectations, strengths and needs of clients and outcomes.
  • Demonstrated professionalism working in teams with internal colleagues and external audiences in both person and through various electronic media.
  • Enthusiastic about advancing system change within the community.
  • Valid driver’s license.
  • Operational smart phone.

Salary 52,000-56,000
