Job Description:

The Advancement Coordinator is a key member of the Advancement Office team and serves in the essential roles of problem solver, traffic controller and customer service leader in supporting the critically important work of securing resources, stewarding donors and engaging alumni in support of the Lasallian educational mission of Christian Brothers University.
To be successful in the role, the Advancement Coordinator must be strategic, proactive, detailed-oriented, and a multi-tasker in performing their daily responsibilities. Under minimal supervision, the Advancement Coordinator provides advanced administrative support and excellent customer services for both the office and the university. The Advancement Coordinator ensures the office's smooth daily operation and works with their colleagues to improve office processes, protocols, and procedures in support of that important objective.
The Advancement Coordinator acts in a highly visible manner on behalf of both the office and the university, while serving, stewarding, and engaging with both internal parties (including administrators, faculty, staff, and students) and external constituents (such as donors, alumni, corporate leaders, foundation officials, and community members). The Advancement Coordinator assists with the management of donor records and the preparation of development reports. The Advancement Coordinator frequently deals with complex and/or confidential requests, matters and situations while providing support to the Vice President of Advancement and, on occasion, the Office of the President.
Principal Accountabilities and Responsibilities:

  • Serve as initial point of contact for general departmental requests with responsibility for gathering all required information and communicating to all relevant stakeholders.
  • Assist with gift acknowledgment process, ensuring that letters are promptly generated, approved and sent to donors.
  • Manage departmental calendar, schedule internal and external meetings, and coordinate meeting logistics.
  • Manage files, both paper and electronic, while maintaining current information in donor database files.
  • Generate reports as needed, especially as related to the tracking, cultivation, solicitation and stewardship of past, current, and prospective donors and the tracking, management, and engagement of scholarship recipients.
  • Facilitate meetings of selected committees and assist the Office of the President with meetings of the Board of Trustees, as needed; accurately record, transcribe, and circulate meeting minutes.
  • Handle administrative duties for the department, including purchasing invoices, expense reimbursements, check requests, and purchase orders while maintaining inventory of office supplies.
  • Assist in coordination of office mailings.
  • Undertake and fulfill other duties and responsibilities as assigned.

Requirements:

  • Exceptional proficiency with Microsoft Office applications (Word, Excel, Outlook and PowerPoint).
  • Bookkeeping or basic accounting knowledge and excellent organizational and interpersonal skills.
  • Demonstrated proficiency and experience with Raiser's Edge or similar complex database (e.g., Advance or Access) is strongly preferred.
  • Superior written and verbal communication and presentation skills, attention to outcome-oriented processes, details, and customer service.
  • Exceptional interpersonal skills and the ability to manage relationships and multiple tasks with ease.
  • Strong service orientation and ability to create a client friendly environment in a complex University setting.
  • Should be equally capable of working independently and as part of a team.
  • Ability to execute multiple simultaneous tasks with a high level of attention to detail and efficiency.
  • Dedication to continual process improvement and the ability to think flexibly to implement, execute, test, and improve the team's performance, processes, and procedures.
  • Excellent relationship-building skills and an enthusiastic, collaborative, helpful, eagerness to be a strong, enthusiastic, and productive "all hands on deck" team member.

Education:
Minimum of a four- year college degree or comparable work experience.
Experience:
At least two years of work experience in the following areas: project management, office administration, or other applicable field.

Physical Requirements:
Work requires the physical demands of seeing, touching, standing, bending, lifting, stooping or performing other work requiring light physical exertion; frequent walking; or moderate physical exertion.
