Job Summary:
The Client Services Administrator serves as an integral support to the entire Client Services team, while also engaging with clients, volunteers, donors, and staff in other departments. This role requires a keen eye for detail, a strong ability to prioritize competing needs, a positive energy, and a desire to understand all services/operations of the site. We are looking for someone with outstanding communication, presentation and facilitation skills, a positive attitude, and the ability to work effectively in a fast-paced environment.
Duties and responsibilities to include, but not limited to:
Provide High Quality Services to Individuals Visiting Chrysalis
- Provide welcoming environment and information to clients, volunteers and guests entering facility, maintaining a positive, motivating demeanor and tone.
- Promote and explain Chrysalis services accurately to visitors and callers.
- Carry out aspects of client orientation: distribute and explain the Client Services Form, and assist with scheduling assessments.
- Distribute mail and relay messages to clients.
- Maintain and replenish documents and forms, including paperwork for new clients, classroom forms, job leads and community resource flyers in lobby.
- Create and send out weekly updates regarding resources and upcoming events to clients.
- Create, update, and translate flyers and materials for Chrysalis events.
- Provide support for client and community events.
Support & Administration
- Review client reports and support Employment Specialists with outreach and follow-up.
- Place orders for, obtain, monitor inventory of, and distribute office supplies, client lunches, and resource room items.
- Consistently communicate issues and information regarding clients to Employment Specialists, and case note in Salesforce.
- Maintain organization of office, including kitchen, cabinets, storage areas, and classrooms.
- Support the purchasing process for job-related client fund requests, including scholarships and material needs.
- Support a variety of staff in completing administrative responsibilities, such as filing, contacting clients, and returning messages.
Client Programming: Job Readiness Training
- Work closely with Volunteer Program Coordinator to schedule 1:1 services with clients.
- Facilitate new client orientation and job preparation classes.
- Conduct 1-on-1 job readiness activities with clients, including resume building, practice interviews, job applications, computer support, cover letters, job search guidance, etc.
- Document and track services, the outcomes and next steps, as well as any observations of clients’ skills, job readiness, and/or growth opportunities.
- Coach clients on professional behavior when necessary.
Qualifications
Job Skills & Qualifications:
- Passion for the Chrysalis mission. Sensitivity and understanding of various cultures and lifestyles.
- Bilingual (English/Spanish) strongly desired.
- Excellent oral and written communication skills, as well as strong phone etiquette required.
- Ability to present to groups of individuals.
- Proficiency in online research, Word, Excel, and PowerPoint programs required. Must be willing to learn other applications as needed.
- Strong data entry skills with strong attention to detail and accuracy.
- Strong organizational skills, including effective time management and the ability to work and make decisions independently.
- Ability to multi-task and prioritize appropriately yet maintain flexibility.
