Position Overview
The Despatch team ships and coordinates all mail from the CIBT Visas Office; this includes Embassy work, secure mail, courier services, international deliveries, national deliveries, overnights, etc. The responsibility of the Despatch Consultant role is to ensure and provide high class of visa quality control and passport logistics, as the company requires. The Consultant will work with the Office Director on performance activities within the Despatch Team.
The Despatch Consultant is responsible for completing training and development courses within CIBT and is expected to be flexible and adjust to changes in operational and client service needs. The Despatch Consultant will, with the help of the office Leaders, develop, foster and maintain a customer-centric culture at CIBT and will work to build a sense of pride and strong morale within the team.
As a Despatch Consultant, you will:
- Handle Despatch entry escalations as they arise, resolving the issue successfully with the client, or referring to your manager
- Maintain deep content knowledge on all aspects of CIBT’s business process to complete orders, systems capabilities and CIBT policies and procedures
- Adhere to office process flows that ensuring maximum efficiencies and productivity
- Oversee and manage passport logistics for CIBT to ensure correct submission, collection, Quality Control and return of client’s passports and documentation
- Ensure the cash flow process is correctly reconciled and all embassy submissions and collections are accounted for
- Maintain performance standards to ensure quality service and optimal performance.
- Quantitative metrics will include, but are not limited to number of orders completed, number of orders drafted
- Ensure that all files are reviewed and Despatch arrangements finalized (drafted) for the following working day
- Be flexible in shift rotation to create a true sense of team work
- Work closely with other areas across the business, to support ongoing improvements and provide input into strategic and tactical plans that enhance, expand and improve our overall customer service and the quality of CIBT Visas’ offering
- To undertake all other reasonable duties as requested by the Director
- Ensure that all required travel documents are returned to the traveler in accordance with their date required
Working Conditions:
- In-Office environment for partial day and local travel based in New York City
- Exposure to external elements (weather) during local travel
- Work location is in compliance with all COVID-19 safety protocols.
- No remote or relocation assistance is available for this position.
Physical Demands:
- Visual acuity; ability to view computer screen for full shift, approximately eight hours
- Sitting, walking, standing, Biking, driving, ride share, metro, and willing to adapt to different modes of transport to consulates based on local availability
- Manual dexterity for operating a computer, keyboard and mouse
- Speaking with ability to convey detailed information accurately and clearly
- Regular lifting and carrying of packages/parcels (no more than 25 pounds)
