JOB SUMMARY
The CMP Office Coordinator leads coordination of day-to-day operations of the clinic, such as scheduling, check in-check out, collections and pre-authorizations. Assists front office staff members with customer service and patient registration needs. Assists the Office Manager to ensure an optimal patient experience. Works closely with providers, and exibits effective communication skills as well as caring professionalism when dealing with patients and their families. The CMP Office Coordinator monitors efficiency of clinic operations and ensures the physical environment of the clinic provides a welcoming, safe, and secure environment for all patients, guests, and staff.
Job Specific:
- Promotes excellent customer service by all levels of the staff. (EF)
- Assigns and schedules new office referrals. (EF)
- Assists patients and staff with the electronic patient registration platform. (EF)
- Assists providers as needed.
- Facilitates proper coverage of receptionist stations during times of reduced staffing, as well as front office lunch break rotations. (EF)
- Assists schedulers with obtaining insurance authorizations and insurance benefits for testing and procedures.
- Processes patient referrals, authorizations, and scheduling of appointments. (EF)
- Maintains proficiency in the clinic software as it pertains to the registration of clinic patients, including scheduling and receipt of all documentation related to the patient's visit. (EF)
- Applies knowledge regarding the reimbursement cycle, specifically as it relates to the collection of data for insurance purposes and monitors the processes of handling monies due on the date of service. (EF)
- Oversees the process of obtaining all documents utilized by the clinic providers and responsible for ensuring those documents are available to the physicians during the patient's visit. (EF)
- Accompanies the physician upon patient interview and examination. Documents the physician’s verbal patient history, including history of present illness, review of systems, past medical and surgical history, family and social histories, medications and allergies. Documents physical examination findings and procedures as performed and verbally stated by the physician. Documents the results of laboratory and radiographic studies as verbally stated by the physician. (EF)
- Facilitates transfer of medical records to EHR system. (EF)
- Maintains working knowledge of federal, state, local and intermediary-specific billing requirements to ensure appropriate authorizations are completed in accordance with the timing standards in effect. (EF)
- Establishes processes to mitigate and communicate chronic missing or incomplete billing requirements within applicable, timely filing standards. (EF)
- Develops and implement operational and billing strategies and job aids designed to maximize efficiencies while maintaining quality standards. (EF)
- Monitors workflows to identify opportunities to streamline and enhance overall processes. (EF)
- Audits claims for charges, duplications and overlapped accounts before billing, making any necessary adjustments and documenting appropriately in a timely manner. (EF)
- Supports office staff members with customer service or patient registration issues. (EF)
- Educates and trains staff members on an ongoing basis as directed by Office Manager. (EF)
- Collaborates with Office Manager on the development of policies and procedures related to customer service and patient registration. (EF)
- Routes information in fax server and forwards to appropriate EMR portal. (EF)
Hospital:
- Adheres to organization-wide and other applicable policies and procedures.
- Day-to-day performance complies with the hospital’s Service Excellence Behavioral Expectations.
- Performs within the prescribed limits of the hospital’s Ethics, Compliance and Confidentiality Program guidelines.

EDUCATIONAL REQUIREMENTS
Required: High School graduate or equivalent.
Preferred: One or two years of college or vocational coursework in overall medical office functions.
EXPERIENCE
Required: One year of Medical Office Coordinator Experience - scheduling, telephone skills, organization and multi-tasking, time management, customer service, verbal communication
Preferred: 5 or more years of Medical Office Coordinator Experience
Special Skills and Abilities:
Required: Computer skills - Electronic medical records, ability to learn new software as needed. Consistently exhibits behavior and communication skills that demonstrate commitment to superior customer service with each internal and external customer.
Preferred: Strong knowledge of billing claim and payment cycles for medical accounts. Familiarity of insurance plan types: Federal, State, PPO, and HMO.
LICENSURE / CERTIFICATION REQUIREMENTS
Preferred: Certification in Medical Office related coursework
