Job Description
This position supports the day-to-day activities of the Public Health operations; is responsible for maintaining public health program files and databases and assists with administrative and clinical aspects of public health clinics.
ESSENTIAL RESPONSIBILITIES
- Administrative support for the program.
- Prepares all paperwork for public health screening.
- Registers new patients into electronic health records and orders labs, tests, vaccines, as needed.
- Assists nurse with intake of patients, which includes but are not limited to preparing exam room, obtaining temperature, pulse, respiration, weight, and blood pressure of patients.
- Assists the nurse by collecting and processing specimens.
- Process labs and referrals as directed by team.
- Provide excellent customer service to patients in public health clinic, ensuring all paperwork is completed and documentation is presented. Schedules follow-up appointments as directed by the RN.
- Maintains public health clinic records.
- Provides billing/coding for the department for reimbursement from Medicaid, Medicare, and/or other third-party payors.
- Verifies and processes all staff/department credit card charges on monthly credit card statement for prompt payment using the Works system.
- Prepares and pays all requisitions, payment vouchers and miscellaneous invoices, etc. using the JD Edwards system.
- Prepares mileage reimbursement for payment to employees.
- Prepares and manages travel for the department.
- Prepares the daily cash report and deposits.
- Maintains inventories of necessary office and medical supplies for assigned programs.
- Maintains department inventory of computer asset tags and software.
- Orders office and medical supplies and charge to appropriate fund.
- Back-up for reception, as needed.
- Participates in and attends team meetings, department meetings, in-service trainings and other related activities as needed.
- Participates in public health preparedness responses.
- Performs other job-related duties as assigned.
Knowledge, Skills, Abilities
- Knowledge of the Public Health ten essential functions.
- Knowledge of the HIPAA Privacy Act.
- Knowledge of the design and presentation of training programs.
- Strong verbal and written communication skill.
- Skills to use a computer with Microsoft Office for data entry, word processing and accounting purposes.

- Skills to operate small office equipment, including a multi-function copy machine, fax machine and multi-line telephone systems.
- Ability to work with a culturally diverse population.
- Ability to handle confidential information in an appropriate manner.
- Ability to travel out of town for trainings and seminars.
- Ability to work an after-hours schedule as required.
- Ability to drive to off-site locations including patient homes and meetings within Potter and Randall counties.
- Ability to establish and maintain effective working relationships with employees, other agencies and the public.
Licenses/Certification
Required Qualifications
This position requires a High School diploma or GED. Administrative, information technology or billing/coding experience are preferred. Valid Texas Driver’s License, reliable transportation with proof of current vehicle insurance, required.
