Position Overview

Salary Range: $18.2502 - $23.3437/hour. Salary reflects Step 1 and Step 6 of a 7-step pay scale. Salary at hiring will be dependent upon the applicant's education, experience, and training.

Work Schedule: Monday through Friday 8:00 a.m. - 4:30 p.m.

Job Summary:

Under general supervision, performs a variety of automotive and heavy equipment purchasing and storekeeping duties. Responsible for overall inventory control; oversees inventory functions; receives and issues materials, supplies, tools, parts, and equipment; and maintains an inventory and records system.

Scope of Responsibility:

Incumbent is familiar with department or functional operations and is able to work with minimal assistance. Working under limited supervision, incumbent performs work requiring some interpretation of data and must make decisions considering objectives. Work may include working closely with other City staff as part of a work crew.

Essential Duties and Responsibilities

Inventory Control

  • Orders, receives, ships, stores, and issues parts, supplies, tools, and equipment.
  • Purchases certain commodities within budgetary constraints and monetary limits established by Fleet Services Manager
  • Makes independent judgments on purchases within purchasing policy guidelines.
  • Researches vendors and specifications for needed supplies and equipment to determine optimal combination of price, quality, and speed of availability.
  • Decides from which vendor to purchase items and the appropriate means of delivery.
  • Interviews vendors and obtains quotes if necessary.
  • Effectively communicates basic information with staff, public and vendors.
  • Prepares bids for parts and supplies.
  • Reconciles reports from data entry to ensure proper inventory and charges to user divisions; makes corrected accounting entries as necessary.
  • Maintains operation of warehouse/stockroom, including timely and adequate purchasing of needed supplies; and maintains accurate inventory information.

Stockroom Duties

  • Orders, picks up and delivers parts and supplies as needed.
  • Verifies incoming items against invoices and purchase orders.
  • Receives, unpacks, and stores goods and supplies in proper storage places.
  • Logs stock received.
  • Provides front counter customer service for division and other City employees and vendors.
  • Follows up on back orders.

Stockroom Inventory

  • Keeps records of goods received and issued.
  • Updates computer files in order to maintain accurate records of stock flows, equipment history, departmental charges, and future needs.
  • Consults with division employees on their specific needs in order to avoid production or service lags due to insufficient stock of supplies and equipment.
  • Takes and maintains inventories.
  • Determines stock levels for ordering and disposal.
  • Maintains and cleans the storeroom.
  • Operates complex computer systems and programs for purchasing and inventory control.

Perform other duties as assigned.

Qualifications and Skills

Required Skills/Qualifications:

  • High school diploma or GED
  • Two years of specialized training beyond high school in automotive and heavy equipment parts warehousing, inventory control, and storeroom operations, or equivalent
  • Must have strong interpersonal skills
  • A valid Montana driver’s license or must be obtained within thirty (30) days of employment
  • Must be able to operate personal computers and be proficient with Microsoft Office and Fleet Inventory applications, or equivalent
  • Must be forklift certified or must be obtained within thirty (30) days of employment.

Physical Demands and Working Conditions

Work is indoors with intermittent exposure to outside areas. Frequent physical effort involving lifting of 25 to 60 pounds is required. Intermittent (less than 15% of the time) lifting of amounts over 60 pounds required. Work requires high attention to detail or deadlines between 15% and 45% of the time. There is occasional exposure (15% to 45% of the time) to a disagreeable element, such as dirt, grease, odor, or unpleasant weather conditions. Driving is required frequently in all weather conditions.
