Job Description Summary:
To support the coordination of Fitness and Wellness Recreation programs and services and provide leadership and direction for non-standard staff to provide high quality fitness and wellness classes and programs for the Boulder community. Performing related duties as required, with a focus on Master Plan initiatives, inclusion, and diversity to enhance our community’s wellbeing.

Job Description:
ESSENTIAL DUTIES AND RESPONSIBILITIES

Program Management - Duties include the following:
Create, implement, and coordinate a variety of fitness and wellness activities and programs including classes, speakers, workshops and private lessons including personal training, nutrition coaching, physical therapy and wellness coaching as well as orientations and fitness assessments, general recreation programs, services and/or special events.
Organize and submit recreation guide and website information including loading and creating marketing materials.
Work directly with Marketing and Communications staff to ensure marketing materials, website, and social media sites are updated with accurate information.
Foster and develop principled relationships with community partners and organizations to grow and market current and future programs including internships.
Research and evaluate program offerings to meet best practices and utilize the service delivery model to make recommendations and align programs with the Master Plan.
Facilitate and manage contracts with outside vendors, instructors, contractors and other external groups.

Personnel Management - Duties include the following:
Hire, train, schedule, supervise, and evaluate non-standard staff and volunteers.
Conduct regular staff meetings, in-service trainings and professional development workshops.
Develop quality training programs for staff and volunteers such as safety, class management and professional development.
Develop and mentor volunteers and staff to ensure quality instruction and leadership.
Perform front-line responsibilities and backfill for absent employees as needed to support programming including subbing for instructors, trainer and coaches.

Facility and Risk Management - Duties include the following:
Enforce safety standards and ensure facilities and equipment are safe through conducting regular inspections.
Work with maintenance staff to ensure all preventative maintenance occurs on a regular basis.
Maintain staff certification records to ensure patron safety including CPR, First Aid, AED Training, and various required certifications.
Train staff, volunteers, and interns in emergency and risk management procedures.
Review and maintain online and in-person trainings through the City of Boulder as required in Workday.
Comply with State of Colorado licensing requirements when necessary.
May update information on the City weather-line and website.
May secure facility space for programs and contractual agreements.
May oversee front desk, pro shop and/or concession sales.
Transportation of children is required for some Program Coordinators.

Fiscal Management and Assessment - Duties include the following:

Responsible for assisting with the preparation and administration of the program area budget including revenues and expenses and related funds, and the development of reports and performance measures in support of Department financial goals.
Track and order supplies and equipment.
Organize and submit payroll, invoices and purchasing card statements.
Assist the supervisor in monitoring the non-standard employee labor budget.
Administer surveys and conduct focus groups to gauge participant satisfaction levels, gain constructive feedback and foster ideas as part of service delivery.
May seek alternative funding sources through fundraising, sponsorships, and grant writing.
May require grant reporting on program expenses, deliverables, and outcomes.

Customer Service and Engagement - Duties include the following:

Deliver prompt and professional solutions to both external and internal customers through face-to-face, phone, and email interactions.
Provide quality service through the development of relationships with facility users, program participants, community members, City employees, and numerous partner organizations.
May produce public education and training presentations for various audiences.

Technology - Duties include the following:
Learn to use and effectively operate recreation management software, Active Net and/or Club Prophet, for program operations including account management, pass sales, point-of-sale service, facility booking, program maintenance, program registration, and other management functions.
Utilize When2Work or other scheduling software to schedule employees.
May utilize other program specific technology or software platforms such as ActiveNet registration software and GroupExPro scheduling software.

Other - The Program Coordinator position is also responsible for other duties as assigned.

Performs related duties as required to meet the needs of the City.
Promotes a culture of teamwork and synergy through collaboration and communication.
May serve on division, department, or City committees and task forces.
Updates job knowledge to remain current with trends, techniques, equipment and regulations.
Generate creative and innovative solutions to manage organizational issues and opportunities.
Maintains and promotes professional ethics (i.e., honesty, integrity, respect, fairness, caring) in all conduct.
Knows and complies with all City and Department policies, participate in professional trainings and development, and adhere to attendance and workplace attire policies.

MINIMUM QUALIFICATIONS

A minimum of two (2) years of experience in fitness and wellness recreation programming.
Current CPR/AED and First Aid certification.
Current certification from: ACE, NSCA, AFAA, ACSM, NASM, or any nationally recognized Fitness and Wellness certification.
Ability to work tactfully and effectively with the public.
Ability to give verbal instructions and to inspect the work of employees supervised.
Ability to ensure all practical safety measures are observed.
Ability to utilize all required safety equipment.
Effective verbal and written communication skills.
Ability to perform minor repairs on equipment.
Able to perform day-to-day tasks in a fast-paced environment.
Willingness and ability to work nights and weekends as needed.
General computer experience.
Valid Colorado driver’s license and acceptable motor vehicle record.
Have and maintain acceptable background information, including criminal conviction history.

PREFERRED QUALIFICATIONS

Knowledge and experience in community development concepts and practices.
A Master’s degree in exercise science, recreation or related field or any combination of equivalent education/experience.
At least five (5) years of extensive experience in coordinating fitness and wellness recreation programs.
Additional certifications/trainings in addition to base certification (ability to teach multiple formats of fitness classes).
Experience coordinating fitness and wellness programs for youth and older adults.
Experience working in a municipal recreation facility.
Experience working with recreation software.
Experience coordinating community recreational programs for youth and adults.
Bi-lingual in English and Spanish.

REQUIRED EDUCATION AND EXPERIENCE

Bachelor’s Degree in Recreation or related field, or any combination of equivalent education/experience.

A minimum of two (2) years of experience in fitness and wellness recreation programming.

Current CPR/AED and First Aid certification.

Supervision Received: Recreation Supervisor

Supervision Exercised: Camp Program Staff I, Camp Program Staff II

WORKING CONDITIONS AND REQUIREMENTS

Physical Demands

Sufficient clarity of speech and hearing or other communication capabilities that permits the employee to communicate effectively on the telephone and in person. Sufficient vision or other powers of observation that permits the employee to review, evaluate and prepare a variety of written documents and materials. Ability to perform a wide range of strenuous physical and manual tasks in an outdoor environment. Physical ability to stand, walk, and kneel; hand/eye coordination to operate personal computer and office equipment. Ability to lift weights up to 45 pounds.

Work Environment

Works in both indoor and outdoor environments that are oftentimes impacted weather and at times, unpredictable conditions.

Machines and Equipment Used

Uses sports equipment, standard office equipment including personal computers, calculators, and copy/fax machines on a daily basis as well as various weight, cardio and fitness equipment.
