- Monitoring and coordinating the team schedule
- Actively participating and co-facilitating daily team meetings
- Reviewing program BI reports to ensure clinical updates, documentation, and ACT fidelity standards are maintained.
- Preparing monthly staffing schedule
- Receiving, screening, and routing incoming telephone calls to ensure timely response to participant needs.
- Triaging calls that may be urgent or emergent in nature.
- Serving as a liaison between staff and those supported in the program.
- Supporting staff both in the office and while in the field.
- Reviewing Electronic Medical as needed to complete the program, state required data, and statistical reports.
- Collecting medical billing information.
- Completing data entry.
- Manages the program’s petty cash funds.
- Typing correspondent letters, minutes, chart notes, and reports.
- Maintaining other personnel records.
- Providing statistical trend profiles and reports to ensure high fidelity of ACT services.
- Serving as ancillary clinical backup to address emergent needs as determined by the Team Leader and within the scope of this position.
- Collects, scans, attaches, sorts, copies, and files client electronic records accordingly.
- Performs routine accounting tasks such as processing incoming checks, reviewing invoices and vouchers.
- Provides support to the team by receiving calls and responding to office Walk-ins, triaging, and coordinating communication between the team and individuals.
- Collects and distributes mail daily.
- Maintains and monitors office equipment.
- Completes an inventory and maintenance office supplies.
- Assist with scheduling appointments and meetings as needed.

Experience In addition to satisfying the vocational/educational standard, this class requires a minimum of one year of related, full-time equivalent experience. Qualified Mental Health Professional – Eligible (QMHP-E) may be considered in lieu of experience.
Special Certifications and Licenses Depending on assignment, may require a valid driver’s license and a driving record that is in compliance with City Driving Standards. Depending on assignment, may require Qualified Mental Health Professional (QMHP – Adult or Child) or Qualified Developmental Disability Professional (QDDP) certification upon hire; CPR, First Aid, and/or Medication Administration certification within 90 days of hire; and successful completion of Intellectual Disabilities Orientation Workbook and/or Case Management Modules within 30 days of hire.
Special Requirements Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies. Emergency operations support work and work locations may be outside of normal job duties.
