Overview
The City of Chesterfield is accepting applications for the full-time position of Customer Service Representative reporting to the Police Department.
Position Summary
Greet and assist visitors to the Government Center. Operate computer system for Customer Service Center. Work is fast-paced and involves extensive interaction with the public and City staff. Position involves operation of multi-line phone system and input of data on computer system. Problem solving and flexibility are necessary in order to work with a wide variety of issues on a daily basis.
Principal Duties and Responsibilities
- Answer and direct incoming calls and assist public with information.
- Greet visitors to the Government Center, answer questions and/or direct visitors to appropriate department.
- Perform data entry regarding customer requests for Public Works, which includes work orders for street maintenance, tree trimming, sidewalk repair, snow removal problems, sewer lateral program as well as other services.
- Sort and distribute incoming daily mail and process outgoing daily mail.
- Sell pool passes to residents/general public and take season pool pass pictures for I.D. cards.
- Rent pavilion and pool to residents/general public.
- Register residents/general public for group swim lessons and private swim/dive lessons.
- Register residents/general public for all Parks and Recreation programs, including applications for the Dog Park
- Process applications for zoning approval through the Planning Department.
- Maintain City events calendar on a daily basis.
- Schedule use of conference rooms and Government Center facilities.
- Maintain display of public informational brochures.
- Maintain/update messages on voice mail system.
- Maintain current file of forms and employment applications for the public. Date stamp and route employment applications to appropriate department.
- Post City and public meeting notices on message board.
- Distribute faxes to all City employees.
- Stock kitchen on daily basis and stock refrigerator in Conference Room 101 as needed.
- Order kitchen supplies from Sam’s on a monthly basis; order beverages from vendor for refrigerator in Conference Room 101 as needed.
- Monitor maintenance, postage and supplies for postage machine.
- Record cash/checks/credit card transactions into Logos system for Parks and Recreation programs and other miscellaneous transactions.
- Update phone lists and distribute to all City employees.
- Provide Notary Services on request.
- Update Customer Service Center Job Responsibilities Manual.
- Perform all other duties and special projects as assigned.
Skills, Knowledge and Abilities
Knowledge of the organization of City departments. Familiarization of churches, businesses, educational institutions, service organizations and City facilities within Chesterfield. Must be proficient in Windows-based word processing applications. Ability to deal with and communicate effectively with the public and City staff.
Minimum Education, Certification, and Experience Requirements
High school diploma or equivalent required. Two years of experience in telephone system and computer operation required. Considerable experience dealing with the public.
