FOR POSITION OF

Deputy City Clerk

Public Affairs Department

Normal Work Hours: 8:00am to 4:30pm , subject to change

Status: Full-Time

Salary Range: $31,445 - $47,168

Position Summary: The Deputy Clerk is appointed by the City Clerk to act as administrative assistant for the City Clerk’s Office. The Deputy Clerk will assist in performing a wide variety of complex clerical duties related to the maintenance of official records, documents, and other material pertaining to the administration of the City of Danville. The Deputy Clerk serves as recording secretary for various committees and assists with agenda preparations when needed. In the absence of the City Clerk, the Deputy Clerk signs and affixes the City Seal to all official documents and attends all meetings of the Corporate Authority.

Qualifications: The following are considered minimum qualifications. Extensive related experience will be considered in lieu of these position requirements if they represent similar skills, knowledge, and levels of responsibility.

Education: The minimum educational requirements for this position are:

- Employee must hold a High School diploma or G.E.D. Certificate from a recognized educational institution.

- Prefer at least on (1) year of college level courses in this field or closely related field.

Experience: Candidates for this position must possess the following experience, or experience deemed to be equivalent to the following:

- Experience in secretarial, bookkeeping office practices or closely related field.

- Experience and knowledge of the principals of government organization and municipal government.

- Two (2) to three (3) years of clerical experience desired.

Required Skills: The following skills are basic to the functions of this position:

- Excellent computer skills including Microsoft Word, Excel, Outlook, Adobe Pro and database development and use.

- Excellent typing and filing skills.

- Good math skills including addition, subtraction, multiplication and division.

- Basic knowledge of business English, grammar and spelling.

- Communication and interpersonal skills needed to work with elected officials, the public and other City employees in a cooperative and professional manner.

- Knowledge and ability to work with a variety of office equipment including phone system, printers, copy machines, scanners and facsimile (fax) machines.

- Demonstrated ability to handle confidential/sensitive matters in a professional manner.

- Exercise good judgement, show initiative, and work independently with little supervision under pressure and with interruptions.

- Be able to manage time and resources efficiently and effectively.

Required Licenses: The person holding this position must have the following licenses or be able to obtain the same within 60 days of their start date:

- Valid Illinois Driver’s License

- Illinois Notary Public issued by the Secretary of Sate

Residency Requirements: Employees of the City of Danville must establish their principal residence in Illinois within 45 miles of the City of Danville corporate limits within six months following successful completion of their probationary period.

Other Information: Employees of the City of Danville are expected to be honest, courteous and helpful to the public and handle matters in confidence. The City Council has adopted a “Code of Ethics” that is applicable to all employees and officers of the City.
