What are the responsibilities and job description for the Project Specialist position at CITY OF FRANKFORT KY?
Under general administrative direction from the City Clerk, provides a wide range of administrative support to the City Manager department. Applies a strong understanding of departmental and organizational objectives and assists in meeting them.
Essential Functions:
- Assists the City Manager department in tracking key operational metrics by organizing and compiling data, researching facts or ordinances, and coordinating information retrieval
- Follows up with resolution to citizen problems
- Trains with and serves as a back up to the City Clerk when needed
- Drafts memos and other correspondence
- Ensures the Board of Commissioners is notified of key dates and events through email and Google calendar entries
- Creates and maintains spreadsheets for management of City Clerk items
- Assists with transfer of documents to a document management system
- Assists with Open Records administration
- Arranges meetings, events, appointments and travel with supporting materials
- Manages timecard approvals and time off requests for the City Manager’s direct reports
- Provides administrative support to the City Clerk and City Manager as needed
- Handles incoming and outgoing mail for the City Manager Department
- Assists with general office work such as copying, scanning, filing, and faxing
- Provides back up administrative support to other departments as needed
- Performs related duties as requested

- Advanced experience with Microsoft Office and Google Workspace applications
- Ability to anticipate needs, resourcefulness and responsiveness are essential
- Ability to consistently strive for excellence and exercise good judgment
- Highly dependable
Bachelor's degree and five plus years of experience preferred.
Must occasionally be available during off-hours (evenings and weekends).
