Perform a variety of responsible and confidential secretarial and clerical duties for the assigned department or division; act as liaison between corresponding departments and others; and provide information and assistance to the public.

Operate a wide variety of office equipment including computer and related software programs, typewriter, adding machine, copy machine, fax machine, binding machine, plan printers, and other office equipment.
Perform routine maintenance on office equipment; input and retrieve data and test; organize and maintain computer information storage and filing.
Receive, review, route and issue permits and agreements.
Participate and assist in the administration of the office to which assigned; research, compile, analyze, summarize data for special projects and various comprehensive reports, prepare various reports, process and check reports for accuracy, send out reports as required.
Perform a wide variety of clerical duties to include answering the telephone; screening calls, referring calls to the appropriate personnel, directing visitors, sorting & distribution of mail; filing; recording and verifying information, processing of payroll; adhering to procurement requirements, reconciling credit card charges, and performing errands.
Provide general information and assistance to City staff and the public.
Administer public programs which require customer service and recordkeeping.
Assist in coordination of municipal activities among two or more City departments or offices; coordinate the flow of paperwork between departmental and divisional levels.
Draft, type, and proofread a wide variety of letters, memorandums, statistical charts and other material from rough draft or verbal instruction; order and maintain office supplies; produce advertising or promotional materials, public notices and street closing information.
Maintain appointment schedules and calendars; arrange meetings and conferences as required; post notices of public meetings.
Gather and post public information/education on City website and through social media (Facebook, Twitter, Next Door, etc.) according to established policies and procedures.
Maintain sewer service location cards. Prepare monthly sewer cap/tap report. Complete sewer locates in a timely and accurate manner as requested.
Provide backup for other secretarial staff (departmental & within City Hall).
Perform related duties as assigned.
Knowledge of:
English usage, spelling, grammar and punctuation.
Proficiency in relevant software applications, including Microsoft Office.
Principles and procedures of record keeping & reporting; spreadsheet and database maintenance.
Basic mathematical principles.
Modern office methods, practices, procedures and computer equipment.
Principles and techniques of business letter writing and report preparation.
Ability to:
Maintain confidential data and information.
Type routine correspondence and memorandums at a speed necessary for successful job performance.
Operate a variety of modern office equipment including a computer.
Implement and maintain standard filing and accounting systems.
Assist in monitoring a budget.
Perform routine clerical work with ease and accuracy. Must be detail oriented.

Take meeting notes and prepare reports from meetings.

Experience:
Two (2) years of increasingly responsible secretarial and clerical experience.
Training:
Equivalent to the completion of the twelfth grade.
License or Certification: Employee must possess a valid driver’s license and maintain insurability as determined by the City’s insurance carrier.
