What are the responsibilities and job description for the Administrative Specialist 30 position at City of Lansing?
IDEAL CANDIDATES WILL POSSESS THE FOLLOWING:
- Bachelor of Science Degree in Business Administration, IT, or in a related field; AND
- Minimum five years of advanced experience working with Microsoft Office Suite including Word, Excel, Teams, PowerPoint and Outlook with comprehensive office administration and budget tracking experience.
- Experience with Accounts Payable, highly preferred.
- Experience with Project Management, highly preferred.
- Combination of education and experience may be considered.
- Handle all logistics and administrative issues associated with support of the CIO, including meetings, event planning, activities, travel preparation and follow up.
- Assist with developing presentation materials for high level meetings, conferences, and other high level events.
- Conserves CIO’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Provides exceptional customer service by answering questions from City employees both on the phone and via email, listens to what is being requested, provides a wide range of information and makes referrals to appropriate staff members.
- Perform expense tracking and budgeting duties; gathers information and generates reports to assist in the preparation of the division budget and assists in preparing and budget fund accounts.
- Manage smaller level projects as delegated by the CIO.
- Miscellaneous duties include, but are not limited to, distribution of regular and interoffice mail, maintenance of meeting room calendars, appointment scheduling using Outlook, tracking and ordering of office supplies, preparing miscellaneous reports, taking meeting minutes, creating new databases or spreadsheets when needed, typing, and filing.
