What are the responsibilities and job description for the Administrative Aide position at City of Phoenix?

Administrative Aides provide advanced administrative support within an assigned program or work area. Some positions issue instructions on behalf of a supervisor or exercise direct supervision over a small number of lower-level clerical personnel. Work involves independent decision making and a thorough knowledge of the terminology, procedures, and practices within a defined activity area. Employees plan and organize work flow utilizing departmental rules, regulations, and procedures. Examples of duties include reviewing documents for completeness and accuracy; composing and responding to a variety of correspondence; interpreting and making decisions in accordance with policies and laws; updating computer databases or other systems, running reports, comparing data, and auditing records; preparing reports or other documents; providing customer service and responding to issues or complaints; scheduling meetings or events; providing general administrative support such as accounts payable, typing, managing phone lines, and filing; and using a variety of office software such as Word, Excel and Outlook.

Currently, vacancies exist in Water, Street Transportation and Retirement Departments. Assigned tasks for each department will require the performance of other essential and marginal functions depending on the needs of their operations.

SALARY


Unit 3: $17.97 (minimum) - $26.08 (maximum) hourly / $37,377.60 - $54,246.40 annually.

Unit 7: $17.57 (minimum) - $26.65 (maximum) hourly / $36,546.60 - $55,432.00 annually.

Unit 8: $18.48 (minimum) - $27.49 (maximum) hourly / $38,438.40 - $57,179.20 annually.

MINIMUM QUALIFICATIONS

  • Four years of experience performing clerical duties
  • OR Bachelor's degree in public or business administration or a related field
  • Other combinations of experience and education that meet the minimum requirements may be substituted

The City of Phoenix has paused plans to implement a federal mandate requiring all city employees be vaccinated against COVID-19. This decision comes after a series of legal challenges and a ruling from a federal judge which temporarily halts the COVID-19 vaccine mandate for federal contractors nationwide. If the requirement is reinstated, the City of Phoenix may require new hires to provide proof of full COVID-19 vaccination status as a condition of employment. PREFERRED QUALIFICATIONS


The minimum qualifications listed above, plus:

  • Two years of experience purchasing materials via contracts or requesting quotes.
  • Working irregular hours, second and/or third shifts, weekends, holidays, and evenings may be required.
  • Some positions in this classification require the use of personal or City vehicles on City business.
  • Individuals must be physically capable of operating the vehicles safely, possess an appropriate valid Arizona driver's license, possess personal insurance coverage and have an acceptable driving record.
  • Experience monitoring and recording retention records.
  • Experience in difficult customer service situations.
  • Experience with Microsoft Word and Microsoft Calendar.
  • Experience working with Records Management Systems.
  • Experience performing accounts payable functions.
  • Experience processing invoices to include researching discrepancies and managing payments to vendors.
