- Provides first line customer service to internal and external customers in a professional, courteous and tactful manner. Addresses and resolves customer questions and concerns in person, by telephone and in writing.
- Processes incoming and outgoing departmental mail.
- Composes routine correspondence; proofreads and edits documents that may contain sensitive personal information; enters, scans, updates, and maintains information in spreadsheets, databases, and reports.
- Creates and maintains filing and record systems, provides retention of records as required; and assists with records requests.
- Accepts, reviews, and prepares land divisions for processing; develops letters of acceptance or denial; and updates applicable databases.
- Processes property transfer affidavits, principle residence exemption, and warranty deeds, using state guidelines, laws and assessing procedures.
- Processes payroll, blanket purchase order invoices, and purchases utilizing purchase cards. Orders supplies.
- Imports monthly building permit data into Assessing database; prepares documents for field work.
- Draws structural footprints utilizing electronic drawing software to transfer hand drawn sketches to electronic format.
- Performs data entry and proofreading.
- Serves as backup secretary to the Board of Review.
- Reviews state bulletins for procedural changes and applies updated information to the Property Tax Exemption process.
- Tracks sales within the City using various media and computer resources.
- Other duties as assigned.
- Associates degree or two (2) years of college course work in an administrative assistant or office management related program; AND three (3) years of experience in progressively responsible administrative support positions; OR
- High School diploma or GED equivalent AND eight (8) years of experience in progressively responsible administrative support positions.
OTHER REQUIREMENTS
- Intermediate proficiency with office computers and related applications to perform word processing, and data entry for computer-assisted mass appraisal (CAMA) system.
- Knowledge of computer-assisted mass appraisal (CAMA) system.
- This work involves occasional lifting of up to 25 pounds within a limited range for access to storage boxes; work regularly requires sitting, frequently requires standing, speaking or hearing, and occasionally requires walking, stooping, kneeling, crouching or crawling and reaching with hands and arms.
- Work has standard vision requirements.
- Vocal communication is required for expressing or exchanging ideas by means of the spoken word.
- Hearing is required to perceive information at normal spoken word levels.
- Work requires preparing and analyzing written or computer data and observing general surroundings and activities.
- Work has no exposure to environmental conditions.
- Work is generally in a moderately noisy office setting (e.g. business office, light traffic).
