PRIMARY PURPOSE: Position is located at the Police Department where the employee carries out a variety of skilled office clerical tasks to deliver customer service to incoming customers and attend to inquiries of incoming telephone calls.
SUPERVISION AND GUIDELINES: SUPERVISION Work is performed under administrative directive and under direct supervision and often requiring independent decision-making. Work priorities and work assignments are established by Police Lieutenant or designee.
SUPERVISION EXERCISED None ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES: Under supervision perform skilled office clerical tasks and receptionist duties. Assist in routine administrative duties including: typing reports; records; answer all incoming phone calls; direct calls to the appropriate persons; share telephone responsibilities with other staff as directed by the department; maintain subject matter files; make copies of public records and furnish information to appropriate party of the department; maintain subject matter files; make copies of public records during regular business hours; responsible for keeping an accurate inventory of the police departments property; may be required to operate on-line computer for entering, correcting and recalling data; may be required to operate copy machine and transcribing equipment. Will be 2 required to cross train to assist with duties in the absence of the Executive Secretary and to perform such additional related duties to at the discretion of the Police Lieutenant.
SKILLS, KNOWLEDGE AND ABILITIES: 1. Basic knowledge of the responsibilities and functions of the police department. 2. Substantive knowledge of general office work setting. 3. Ability to work and operate modern office equipment, such as a computer, copier ad other related equipment. 4. Responsible for proper spelling, grammar, format, and arrangement of material. 5. Skilled in operating a desktop computer and use established software to create, modify and printout documents electronically. A proficient typist is required. 6. Ability to speak, write and read well in the Spanish language. 7. Ability to use extreme tact and diplomacy to be courteously, as well as efficiently and effectively communicate with the public and handle a variety of personal contacts; in addition to maintaining effective working relationship with fellow employees and officials. 8. Ability to travel to trainings, seminar and meetings as required.
MINIMUM QUALIFICATIONS: 1. High School Diploma or certificate of successful completion of the General Educational Development (GED) test. 2. Minimum two (2) years’ experience in record keeping and/or administrative. 3. Bilingual proficiency in the English and Spanish language is desirable. 4. Must pass a background check to be able to work with NCIC system.
LICENSE AND CERTIFICATES Must hold or be able to obtain in vehicle driver’s license as per City of Sunland Park Policy.
ENVIRONMENT AND PHYSICAL FACTORS: WORKING ENVIRONMENT: Work is performed in an office environment. The noise level in the work environment is usually quiet in the office.
