POSITION TITLE: Fire Department Secretary
REPORTS TO: Fire Chief
QUALIFICATIONS: High School Diploma; two or more years of non-supervisory experience in an office setting performing secretarial duties; skill in the use of office equipment and technology such as computers, financial software, scanner and copier; the ability to master new technologies, proficiency in Microsoft Office software, accounting skills and general office skills; ability to critically assess situations and solve problems.
DUTIES AND RESPONSIBILITIES:
- Handles sensitive and confidential incoming and outgoing correspondence for Fire Chief and, when needed, for the command officers of the Fire Department.
- Receives departmental telephone calls, answers routine inquiries, takes messages and makes referrals to proper authority.
- Receives the public and answers questions; responds to inquiries from employees, citizens and others; refers these persons and question, when necessary to the appropriate persons.
- Composes, types and edits a variety of correspondence, reports, memoranda and other material requiring judgment as to content, accuracy and completeness.
- Establishes and maintains filing systems for the Fire Department’s records, including personnel, labor relations negotiations and projects and complaints concerning the Fire Department.
- Enters purchase orders for the Fire Departments into the BSA accounts payable module and prepares paperwork for submission to the Finance Department for bi-weekly check processing.
- Reviews and prepares Fire Department timekeeping records for completeness and accuracy for submission to the Finance Department for bi-weekly payroll.
- Acquires, distributes and maintains records for the Fire Department petty cash.
- Assists with the preparation of the Fire Department budget.
- Notifies the Finance Department of fixed asset additions and deletions utilizing the appropriate forms. Processes and mails business license applications, receives business license applications and fees, distributes to other City departments as appropriate and issues business licenses.
- Assists with fire prevention duties; schedules inspections and re-inspections, maintains inspection and re-inspection records.
- Coordinates various Fire Department programs such as school presentations, Camp 911 and Open House. Orders materials and supplies, prepares correspondence and press releases and maintains program budgets.
- Provides clerical support for the hiring of any Fire Department employee and ensures that new hires complete all required employment forms and submit to psychological and physical examinations before beginning employment.
- Prepares and submits documents related to Workers’ Compensation and property damage claims for the Fire Department.
- Makes arrangements for meetings, training and conferences of the Fire Chief and other personnel, as needed.
- Gathers and enters data from various sources into existing Microsoft Excel spreadsheets and creates new spreadsheets.
- Posts items to Bid-Net for solicitation Fire Department of bids.
- Maintains and orders office supplies, copier supplies and printer supplies.
- Opens and distributes Fire Department mail.
- Performs related work as directed by the Fire Chief.
