The purpose of this position is to provide administrative support to the Department of Economic & Community Development, Bureau of Permits Planning & Inspections, Uniform Construction Code Division. This is accomplished by receiving Bureau/Division telephone calls; offering assistance to callers and Bureau/Division visitors; typing, printing, and distributing Bureau/Division correspondence; maintaining computer programs; copying and faxing documents; maintaining supply inventory for Bureau/Division; and completing department purchases. Other duties include maintaining the filing system for the Bureau/Division; posting appointments on calendars such as scheduling inspections & meetings; manage staff certifications and recertifications; issuing certificates of occupancy; and coordinating the renewal of code subscription services.
Provides administrative and clerical support to the Uniform Construction Code Division of the Bureau of Permits, Planning & Inspections, Department of Economic & Community Development by:
- Answering the telephone and directing calls appropriately
- receiving and filing inspection reports, typing letters, issuing certificates of occupancy and compliance, preparing and preparing plan review documents
- Managing staff certifications/recertifications
- Managing division staff calendars to include inspections, meetings and hearings.
- Manage code subscription services.
- Radio dispatcher for the division
Other duties as assigned.High School diploma or equivalent is required.
Four (4) years administrative support experience or equivalent combination of education and experience.
This job title requires the use of standard technical skills appropriate to the work environment of the organization with proficiency in Microsoft Office Suite (emphasis on Word & Excel), Outlook and Office 365.
Ability to read papers, periodicals, journals, manuals, dictionaries, thesauruses, and encyclopedias.
Ability to deal with system of real numbers; practical application of fractions, percentages, ratios/proportions and measurement.
Ability to write reports, prepare business letters, expositions, and summaries with proper format, punctuation, spelling, and grammar, using all parts of speech.
Valid Class C driver’s license issued by the Commonwealth of Pennsylvania.
Principles and practices of office administration.
Records management principles and standards.
Basic bookkeeping and accounting principles.
General office equipment and standard computer software applications
All persons who become employed by the City on or after the effective date of this section (May 18, 2022) shall be or become residents of York County or any county contiguous to York County (Adams, Cumberland, Dauphin, Lancaster, Hartford, Baltimore, and Carroll Counties), within six months from the first date the employee achieves permanent employment status.
Must pass a background check, Drug Test and provide a PA Child Abuse History Clearance certificate with “no record exists”.
