Salary Range: DOE, starting at $60,000



Job Summary:

The Payroll and HR Assistant is responsible for managing weekly payroll and overseeing employee timekeeping records. This role emphasizes punctual administration, reconciliation, and adherence to all payroll functions. Duties include processing payroll, addressing payroll-related concerns, liaising between payroll, benefits, time-tracking systems, and generating reports. The HR Assistant also aids employees with benefit inquiries and enrollment, confirms insurance billings, and ensures compliance with all federal, state, and local laws and regulations. This job description is intended to represent only the key areas of responsibility. Specific position assignments will vary depending on the business needs of the department.


Duties/Responsibilities:

  • Calculate hours, overtime, bonuses, tax withholdings, tax payments, IMRF payments, and deductions.
  • Ensure proper processing of payroll, deductions, child support payments, wage garnishments.
  • Prepare and issue earnings statements, issue payroll checks, manage direct deposits, and issue/reissue replacement checks or direct deposits due to payroll errors or final discharge.
  • Provide information and assistance to employees who have questions about payroll or benefit related matters.
  • Coordinate with and ensure department heads approve timesheets for their respective departments.
  • Prepare reports and/or spreadsheets as assigned (including federal and state quarterly 941's), as well as participate in the annual audit.
  • Data entry of new employees into Avail, IMRF, and Benefits.
  • Maintain employee payroll records and file for the HR Department.
  • Must maintain a great deal of confidentiality, as this position has knowledge of sensitive data and information.
  • Performs all other reasonable duties as assigned.

Education/Skills:

  • Associate degree in payroll or a related field strongly preferred; or an equivalent combination of education and experience to successfully perform the essential duties of the job.
  • Minimum of 2 years of experience working in payroll or closely related field.
  • Experience in lieu of degree may be considered for the right candidate.
  • Proficiency in Microsoft Office and payroll software programs.
  • Strong numerical aptitude and attention to detail.
  • Excellent communication skills, both verbal and written.
  • Effective time management, organizational skills, and
  • Working knowledge of relevant legal regulations.
  • Must be a team player and have a positive, can-do attitude.

Working Conditions/Physical Requirements:

  • Primarily sedentary work. Working conditions are generally indoors, in a temperature-controlled office environment, working closely with others and alone.
  • Possible exposure to dirt, dust, moderate noise, electrical/chemical/mechanical hazards, communicable diseases, angry/difficult people, and construction sites.
  • Essential and other important responsibilities and duties may require maintaining physical condition necessary for walking, standing, or sitting for prolonged periods of time; kneeling, squatting, bending, twisting, and crouching during assigned activities, pushing and/or pulling, climbing stairs, lifting, and carrying materials.
  • Must be able to lift up to 25 pounds at times.

General Working Hours:

Monday-Friday 8:00am-5:00pm. Position requires some flexibility in scheduled working hours, especially for payroll processing during holidays. Some overtime may be required and may need to work a weekend here and there.


Travel:

Minimal travel required. Must have a valid driver's license.
