PAY AND BENEFITS


Hourly Pay Range: $25.250921 - $31.892593

Salary offers will be made within the posted pay range and will be based on a candidate's experience (paid or unpaid) that is directly relevant to the position. This position is classified as an Administrative Specialist 1.

JOB DETAILS AND QUALIFICATIONS


Clackamas County Tourism seeks a self-motivated and detail-oriented individual to join our Mt. Hood Territory team as the Tourism Administrative Specialist.

The person selected for this exciting opportunity will provide administrative support to our Tourism program by maintaining information in the customer relations management (CRM) database. The incumbent will also contact businesses by email and phone to gather or verify data for the CRM database. The selected candidate will research new partners for website listings, including new tourism-related businesses and events, and introduce them to the services offered by Mt. Hood Territory and connect them to available resources.

We are looking for someone with strong attention to detail who can work with a wide variety of diverse staff and community partners. Strong communication skills and the ability to quickly learn about and engage with the tourism attractions and facilities in the county will make the selected candidate successful in this position. The ability to be proactive in establishing and maintaining connections with partners and the community will help lead to the overall goal of increasing the number of new and repeat visitors to Mt. Hood Territory and contributing to the overall economic development and local vitality of Clackamas County.

Required Minimum Qualifications/ Transferrable Skills:*

  • A minimum of one (1) year of related experience with administrative office or clerical support
  • A minimum of one (1) year of customer service experience
  • Experience managing information in a database
  • Ability to communicate effectively, including conveying technical and procedural information to persons at all levels of ability
  • Ability to maintain composure in stressful situations when dealing with a variety of people
  • Ability to work with the public, contractors, vendors, salespeople, and other personnel in a courteous, professional manner
  • Driving is required for County business on a regular basis or to accomplish work. Incumbents must possess a valid driver's license, and possess and maintain an acceptable driving record throughout the course of employment. Learn more about the County's driving policy

Preferred Special Qualifications/ Transferrable Skills:*

  • Experience working directly with tourism or recreational entities
  • Experience organizing media in a digital asset management tool
  • Knowledge of Clackamas County tourism attractions/facilities

TYPICAL TASKS


Duties may include but are not limited to the following:

  • Update information in the customer relations management system (CRM), a custom database.
  • Contribute on behalf of Mt. Hood Territory to partner databases.
  • Customer service including contacting businesses by email and phone to gather or verify data for the database. Introduce businesses to the services offered by Mt. Hood Territory and connect them to resources.
  • Pull reports for staff, projects and partners from the database. This includes data sorting, cleaning and formatting.
  • Research new partners for website listings including new tourism related businesses and events.
  • Organize and manage content assets including photo and video in digital asset management tool.
  • Assorted other administrative tasks such as taking meeting minutes, assisting with scheduling, helping with project logistics.

REQUIRED KNOWLEDGE AND SKILLS


Considerable knowledge of: Principles and procedures of office management and administration; English spelling, punctuation, grammar, and composition; arithmetic, clerical/accounting principles and processes.

Thorough knowledge of: Techniques of research and program administration; office equipment, including computer systems and software programs such as word processing and spreadsheets and their functions/capabilities; statistical calculations.

Working knowledge of: Applicable program policies and procedures and/or rules, regulations and statutes depending upon assignment of duties and responsibilities. Skill to: Organize and maintain office/administrative systems and procedures; understand, interpret and apply County and department policies and procedures, and technical materials; communicate effectively, both orally and in writing; compose correspondence requiring a high degree of initiative and judgment; conduct independent research; define administrative problems and recommend and implement solutions; collect, evaluate and summarize data; prepare and present clear and concise reports; establish and maintain effective working relationships with County employees and officials, contracted service providers, other governmental agencies, local businesses, citizen groups and the public; operate office equipment; train staff.


WORK SCHEDULE


This position is included in the County’s alternate workweek program, working 24 hours during a standard workweek of Monday through Thursday (Fridays off). Additional hours may occassionaly be required in order to complete time sensitive projects and deadlines. Specific hours of work will be discussed with the candidate selected for this position at the time an offer of employment is extended. This position is eligible for hybrid on-site/telework subject to the Clackamas County Teleworking Policy and based on the Department’s business needs. The exact amount of on-site/telework and schedule will be discussed with the hiring manager during time of offer. Telework locations cannot be located outside of Oregon or Washington. Washington residents must perform 50% of their time on-site at Clackamas County.

It is funded by the transient room tax charged on all overnight stays in commercial lodging facilities in the county. The department is responsible for strategies that both develop tourism attractions/facilities and market the destination. By increasing the number of new and repeat visitors to the County, the department contributes to economic development and local vitality.
