Our client, a growing wealth management firm, is seeking an Operations Associate to handle insurance operations, marketing support, and key administrative duties. This full-time role requires someone who is highly organized, detail-oriented, and efficient.
Key Responsibilities
Administrative & Client Support:
- Maintain CRM by merging duplicate records, updating contact information, and creating new opportunities.
- Handle client service requests (beneficiary updates, basic banking, contact info), and manage life insurance exam scheduling.
- Manage calendars across multiple time zones, ensuring meetings are confirmed and rescheduled as needed with minimal errors.
- Order supplies, assist with team events, and complete various clerical projects.
Insurance Operations:
- Run insurance models (term, whole life, variable, LTC, annuities) and prepare case notes, annual reviews, and external insurance quotes.
Marketing & Event Support:
- Generate new prospects via feeds lists, update the CRM, and track referrals.
- Manage client communications including newsletters, email campaigns, and event registration.
- Update the website, schedule LinkedIn posts, and assist with marketing and retirement seminar planning (flyers, invites, etc.).
Qualifications
- 3-5 years of experience in an operations or practice management role.
- Reliability (M-F), detail-oriented, and efficient in managing multiple tasks.
- Strong communication skills, comfortable managing calendars and client service tasks.
- Proficiency in Microsoft Outlook and CRM systems.
- Experience in insurance and financial services marketing preferred.
- Excellent organizational and multitasking skills.
Compensation
- $60,000-70,000 base salary
