To join us as an Executive Assistant! This position serves as the primary point of contact for internal and external stakeholders for several members of our Executive Leadership Team (ELT), where you will organize and coordinate outreach and external correspondence and serves as project manager for organization-wide administrative projects.
The ideal candidate will enjoy working within a small, entrepreneurial environment that is mission, results, and community driven. Also can exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. Success in this role also requires the experience to work independently and under pressure at times to handle a wide variety of activities and confidential matters with discretion.
For this role, you will…
- Complete a broad variety of administrative tasks for the ELT, including managing extremely active calendars; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas.
- Plan, coordinate and ensure schedules are updated and followed by stakeholders.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the ELT, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Provide a bridge for smooth communication between the ELT and internal departments; demonstrating leadership to maintain credibility, trust and support with executive leadership team.
- Work closely and effectively with the ELT to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Successfully complete critical aspects of deliverables with a hands-on approach, including drafting emails, personal correspondence, and other tasks.
- Prioritize conflicting needs; proactively follow through to successful completion, often with deadline pressures.
- Always maintain discretion and confidentiality.
- Assists in coordinating the agenda of leadership team meetings, newsletters and townhall events.
- Support administrative projects managing with top-down oversight throughout entire execution to ensure success and completion as defined by scope, budget and timeline.
- Monitor regional administrative projects and coordinate with appropriate stakeholders to be able to give reports on measurable items, such as milestones and deliverables.
- Communicate proactively with all involved personnel to provide encouragement, identify problems, create solutions, and implement efficiency improvements.
Exciting candidates will have…
- 5 years’ experience supporting a Senior Executive, or equivalent
- Demonstrated Project Management experience
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with attention to detail.
- Dynamic interpersonal skills and the ability to build relationships with stakeholders, specifically members of the executive leadership team, board members, clients, and employees.
- Expert level written and verbal communication skills, with an emphasis on the ability to handle confidential information.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and other communication software
Job Type: Full-time
Pay: $72,000.00 - $88,000.00 per year
