What are the responsibilities and job description for the HR Admin Assistant position at Clinpath Diagnostics?
Position Purpose:
Provides skilled administrative/HR support of a confidential nature for Clin-Path Associates (Pathologists, P.A.’s, Chief Operating Officer, Accounting Manager and Human Resources Director). All employees are responsible for supporting the Company’s goals and mission, and for following all Company policies and procedures. This position maintains a variety of confidential records. Quality customer service is an essential part of every position.
Essential Functions:
- Provides secretarial support for the department by utilizing computer programs to assist with typing and distributing reports, special projects, fee schedules, and maintaining database and spreadsheet information.
- Acts as the coordinator for information needed by laboratory staff and department operations by setting up and maintaining systems for files and supplies.
- Screens phone calls, transcribes letters/memos from dictaphone tapes, plans, organizes and completes special ongoing departmental projects.
- Post jobs and ads in select locations. Screen and source qualified applicants and resumes. Coordinate the interview process with individuals and panels. Gather interview feedback and communicate with applicants during and after the interview process.
- Assist with all stages of the recruitment process. Work with management to understand the hiring needs of the company. Create exciting and useful recruiting tactics to attract top-performing employees.
- Phone screen candidates, schedule interviews, and attend job fairs and other recruiting events as needed. Perform other duties as assigned.
- Assist with initiating background checks and/or drug screens for new hires as part of the onboarding process.
Additional Functions:
- Screens calls and visitors, providing information and referral as appropriate.
- Inventories and orders supplies for the Administrative area such as forms, office supplies, journals, and books. Maintains library and records.
- Sorts and screens mail for Pathologists and administrative Staff. Uses judgment in identifying required actions on incoming mail and manages the follow-up when appropriate.
- Produces correspondence, reports, and forms for the Pathologists and administrative staff.
- Types minutes of meetings as requested.
- Makes conference arrangements such as location and travel.
- Schedules appointments and maintains calendars as needed for Pathologists and administrative staff.
- Distributes monthly call schedules for pathologists and PAs.
- Assists with maintenance of accounts payable records; prepares check requests for accounting manager. Assists with maintenance of accounts receivable records including receipt of checks.
- Maintain Clin-Path Policy and Procedure Manual as well as the Clin-Path Handbook. Ensure that all pathologists have current copies of the manuals.
- Maintain and update AP and legal files so that information is readily available.
- Assist with PowerPoint presentations.
- Assists administrative staff with projects as assigned.
- Assist with facilitating the new hire onboarding and new hire orientation.
- Performs other related duties as required.
Minimum Qualifications:
Must have at least two years of experience providing secretarial support in a multi-person health care setting.1-year experience in HR or Talent Acquisition is highly preferred. Must be proficient in Windows software such as Microsoft Word, Excel, and other miscellaneous programs. Medical terminology training is required. Must have highly developed interpersonal skills and demonstrate professional behavior.
