What are the responsibilities and job description for the Administrative Assistant position at CME Associates?
CME Associates is seeking an Administrative Assistant to support our Medford, New Jersey location.
Responsibilities include but are not limited to;
- Provide general administrative support to the assigned team to organize the flow of work by handling information requests and coordinating with team members on a timely responses.
- Open, sort and distribute incoming correspondence, including faxes, scans and emails.
- Answer phone calls and direct calls to appropriate parties or take messages.
- Type, prepare, format and compile letters, reports, and other correspondence as well was coordinate the printing and submission of said documents.
- Communicate and interact positively with clients, visitors and employees at all levels of the organization.
- Organize all agendas, files and correspondence for clientele meetings.
- Prepare and send Requests for Proposals (RFP’s) and Requests for Qualifications (RFQ’s) as needed.
- Collaborate with other CME Administrative staff on RFPs/RFQs and other projects.
- Complete all assigned projects related to conferences, conventions and promotional activities as scheduled.
- Reserve conference room and sets up for meetings.
- Coordinate with Accounts Receivable regarding client invoice matters.
- Initiate tasks and work well with little to no supervision.
- This position includes all other responsibilities that may be necessary to fulfill duties associated with the position or as may be assigned.
Requirements
- Minimum 3 years’ experience working as an administrative assistant supporting executives or other senior level positions.
- Experience working for an engineering firm or similar professional service firm in an administrative position preferred.
- High School Diploma / GED required.
- Associate's or Bachelor’s degree in Business Administration or Marketing preferred.
- Proficiency in Microsoft Office Suite (Word, Excel and PowerPoint)
