Full-Time, Monday- Friday
SUMMARY
On behalf of Critical Nurse Staffing, LLC (“CNS” or “Company”), this position provides administrative and secretarial support. In addition to answering phone calls, typing, filing and scheduling; this position may perform duties such as record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Deals with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Employee must have regular attendance/punctuality, be able to work with others at all levels of the Company, have exceptional customer service, and be completely honest. Other assigned duties include:
1. Work on projects as assigned by Corporate Operations Manager.
2. Greet and welcome guests as soon as they arrive at the office.
3. Answer phones in a professional manner.
4. Answer, screen and forward incoming phone calls.
5. Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
6. Receive, sort and distribute daily mail/deliveries.
7. Prepare outgoing mail and packages as needed.
8. Order supplies and keep inventory stocked.
9. Plan and schedule meetings, presentations, special events and other office related events.
10. Maintain positive and professional staff and client relationships.
11. Reserve conference rooms for meetings as requested or necessary.
12. Manage communication of information in and out of the office.
13. Create and maintain spreadsheets as needed.
14. Assist in preparation of presentation materials.
15. Assist with various program operations as requested and as responsibilities permit.
16. Assist CNS staff with administrative duties as requested.
17. Assist with accurate data entry into CRM.
18. Assist with training of CNS staff on applicable software systems.
19. Assist with generation and shipping of patient care documents as assigned.
20. Suggest changes to office task workflow to improve efficiency.
21. Other duties as assigned.
Requirements
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and /or ability required.
EDUCATION and/or EXPERIENCE
Required: High school diploma and six months of administrative experience; or equivalent education and experience.
RELATED COMPETENCIES
Language Skills: Must be able to read, analyze, and interpret general business practices, policies and procedures, professional journals, technical guidelines, and governmental regulations. Must be able to write reports, business correspondence, and procedure manuals. Must be able to effectively present information and respond to questions from groups of managers, clients, customers, and the public. Must be able to accurately and clearly provide guidance and direction to Company staff and employees.
