What are the responsibilities and job description for the Administrative Assistant - Elementary School position at Cocalico School District?
The Cocalico School District is accepting applications for the position of Administrative Assistant. This is a full-time, 209-day position. Effective communication, organization, and office clerical skills are required. One (1) year of experience as an administrative assistant is preferred.
Duties and responsibilities include:
- Ensure the smooth operation and organization of the office and materials.
- Greet, assist, and monitor outside visitors coming to the main entrance and office.
- Perform clerical duties such as answering the phone, copying, typing, faxing, filing, opening and distributing mail, etc., as deemed necessary by office staff.
- Maintain attendance by entering data into PowerSchool; track and file excuse cards; generate attendance letters, legal notices and criminal complaints; complete attendance checklist and initiate attendance calls.
- Prepare and print absenteeism reports for State reporting, as required.
- Assist with enrollment, transfer, and withdrawal of students; entering data and completing paperwork as needed.
- Assist with student arrival and dismissal process by announcing buses, etc., transportation changes, facilitating two-way communication, and troubleshooting transportation issues.
- Maintain communication with teachers, parents, staff, and students, providing support, as needed.
- Coordinate field trips/permission slips and volunteer certification, as required.
- Oversee building-level aspects of Child Accounting, such as entering and maintaining student data in PowerSchool, and assist with organizing and maintaining student cumulative records.
- Assist with building-level tasks, including but not limited to preparing materials for school projects such as picture day, conferences, staff and student handbooks, and Cocalico Safety Team (CST) binders.
- Assist with the electronic posting of take home papers and other messages sent to all families, as needed.
- Create and update student accounts for online subscriptions.
- Attend and participate in all required meetings and trainings.
- Perform other duties as assigned by the Building Principal.
