Accounts Payable Supervisor

Position Description

Cold Spring Harbor Laboratory is seeking an Accounts Payable Supervisor to join our team. The candidate must be well organized, with attention to detail and exceptional interpersonal skills.

Position Responsibilities

• Design, revise, and communicate standard operating procedures for the accounts payable function.
• Monitor A/P operations such as vendor/invoice problems and standardization of input.
• Ensure timely payment of vendor invoices and maintain accurate records and report.
• Compile and analyze audit reports.
• Prepare wire transfers with all appropriate paperwork and signatures.
• Review all vendor and employee payments for accuracy.
• Analyze, prepare, and distribute course reimbursements. Enter into TAX NAV all information for foreign instructors, assistant instructors and lecturers for tax withholding purposes.
• Process and analyze payments for American Express employee accounts.
• Maintain asset system and resolve problems with purchasing department.
• Test and implement current system upgrades, including current paperless invoicing and payment projects. Work to resolve computer and software problems with IT Department.
• Aid in developing, test and implementing new ERP system.
• Void checks, re-instate checks, and run all related reports
• Assemble, prepare, and maintain all paperwork for transfer of previous years documents for storage.
• Handle any necessary reclassification of invoice coding.
• Review tuition reimbursements and royalty payments for processing,
• Review and maintain consulting invoices and files and upload into Docs
• Prepare and authorize ordering of A/P supplies.
• Supervise staff of A/P Specialists including training, assigning/directing work, performance and salary reviews, disciplining, and monitoring time off.
• Make recommendations on hiring and termination decisions.
• Assist in year-end processing of 1099’s and 1042’s.
• Check positive pay on TD Bank for suspect items on daily basis.
• Review & Run CB220 for uncashed checks

Position Requirements

EDUCATION: (Degree Requirements)

• Bachelor’s degree in Accounting or related coursework at the college

EXPERIENCE: (Amount of Experience Required to perform responsibilities)

• Minimum 5 years’ A/P experience
• Knowledge of accounting principles and practices
• Knowledge of supervisory methods and practices
• Computer skills – Excel, Word Internet, Lawson Business Systems
• Excellent oral and written communications skills
• Math aptitude
• Strong decision-making and problem-solving skills
• Organizational skills and analytical ability

The salary range or hourly rate listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future. When determining a base salary and/or rate, several factors may be considered as applicable (e.g., years of relevant experience, education, credentials, and internal equity).
