Under the direction of the Dean of CTE (Career and Technical Education). The Instructional Support Specialist organizes and coordinates the equipment and supplies distribution for Instructional programs. The employee in this classification receives, inventories, fits, issues, stores, repairs, and maintains program equipment, apparel, and supplies on a day-to-day basis. This position is responsible for training and supervising the work outcomes of student assistants.

The Instructional Support Specialist requires high technical expertise and may operate program vehicles for training and for District trips or handle hazardous materials as needed. This job class is responsible for the inventory, safe storage, and proper use of equipment, supplies, chemicals, and materials related to their specified instructional program. Employees in this classification receive limited supervision within a framework of standard policies and procedures and require high independence.

Key Duties & Responsibilities

  • Order, receive and inspect materials and equipment; arrange for proper storage and handling of equipment; provide certain laboratory materials by procuring from local stores; inventory materials and assure adequate quantities are available for instructional use.
  • Maintain a variety of files and records regarding instructional materials, inventories, purchase orders and equipment repairs; prepare reports as required; perform general clerical duties as needed.
  • Communicate with administrators, personnel, and outside organizations to coordinate activities, resolve issues and conflicts and exchange information.
  • Assists faculty in pre-instructional set-up activities such as preparing classrooms, lab sites, vehicles, equipment, and machinery necessary for various instructional activities.
  • Assists faculty with post-instructional activities, such as restoring classroom, vehicles, equipment, and machinery to pre-activity conditions.
  • Organizes, distributes services, maintains, cleans, repairs, collects, and logs inventory of equipment, apparatus, chemicals, and supplies for various instructional programs that rely on specialized equipment.
  • Maintains computerized inventory and record keeping for instructional program apparel, equipment, and supplies.
  • Maintains accurate records of equipment issued to students, faculty, and staff.
  • Assists in developing equipment and supply needs for budget preparation for the replacement of equipment, supplies, and apparel.
  • Assists administration and faculty in budget tracking and communication and submits budgets to Dean or designee.
  • Attend a variety of meetings as assigned.
  • Perform related duties as assigned
  • Maintains adequate inventory in the assigned program stock rooms and performs regular equipment and vehicle inventory. Cleans and organizes assigned equipment, vehicles, or stock rooms as necessary.
  • Cleans, sanitizes, and/or regularly inspects, as needed, all program equipment.
  • Reports missing equipment and supplies and initiates recovery of items.
  • Makes minor adjustments and repairs to uniforms/PPE and other equipment as necessary. Reports the need for major repairs to supervisor.
  • Schedules required testing of equipment related to assigned instructional area to ensure proper maintenance and compliance with regulatory standards.
  • Performs regular daily, weekly, and monthly inspections of program supplies, equipment, and other apparatus assigned to the program
  • Maintains a logbook and equipment inventory of all vehicles assigned to the program.
  • Trains and supervises the work outcomes of student workers.
  • Performs other related duties similar to the above in scope and function as required.

EMPLOYMENT STANDARDS:
Knowledge of:
  • Computer applications to assist in recording an inventory of equipment, uniforms, and supplies.
  • Equipment, materials, supplies, chemicals, and terminology used in assigned instructional program area.
  • Basic uniform and equipment repair using an assortment of power and manual tools.
  • Uniform and equipment care including the effects of washing and drying uniforms.
  • Health and safety regulations relevant to the operations of the assigned instructional program area.
  • Methods for providing training and direction in the accomplishment of tasks performed by student workers.
  • Standard English vocabulary, grammar, spelling, punctuation, typing, and filing procedures.
  • Record keeping methods and techniques.

Ability to:
  • Prepare, operate, maintain, transport, and demonstrate proper use of equipment and materials related to instructional program area.
  • Communicate and enforce established safety rules, regulations, and procedures related to equipment and chemical use to staff and students.
  • Understand and follow oral and written directions.
  • Maintain accurate records using a computer system and software applications.
  • Train and supervise the work outcomes of student workers to assist in assigned tasks and duties.
  • Receive, issue, store, and repair equipment in assigned departments and or programs.
  • Effectively communicate, orally and in writing.
  • Work independently, be organized and detail oriented.
  • Learn from errors, determine appropriate corrective action, and prevent repeated occurrences.
  • Establish and maintain cooperative and effective working relationships with other, including those from diverse academic, socioeconomic, cultural, ethnic, and ability backgrounds.
  • Maintain small engines and manage repairs.
  • Light Vehicle maintenance and management of larger repair jobs.

Minimum Qualifications

Graduation from high school or GED supplemented by college-level coursework.

Desired Qualifications:


  • One year of experience with equipment and supply inventory and coordination.
  • One year of experience using computers and software programs for routine business processes.
  • Non-Commercial Class A California Driver’s License with air brake endorsement or the ability to obtain the license within 90 calendar days of employment.
  • Exposure to air and water under high pressure, dust, noise, chemicals, and materials commonly encountered in fire suppression.
  • Contact with cleaning chemicals.
  • Work with and around compressed air and gas equipment and cylinders, SCBA militance.
  • Decontamination of equipment, supplies, and clothing soiled by blood borne pathogens.
  • Indoor and outdoor work environment with extreme temperatures and conditions
  • Exposure to high decibel levels during operation of machinery, equipment, power tools, etc.
  • Exposure to flammable liquids, compressed gases, toxic materials, hot lubricants under pressure, hazmat storage and disposal.
  • Exposure to ultraviolet and infrared
  • Potential for lacerations and contusions
  • Potential eye injuries due to small flying objects
  • Exposure to high decibel levels associated with welding and fabrication processes
  • Exposure to flammable liquids, compressed gases under pressure, hazmat storage and disposal.
  • Exposure to cleaning materials.
  • Ability to weld and do build and maintain props.
