The Office Administrator is responsible for general office operations and building management at CLC’s office in Chatham, NY. This position will work closely with the Accounting Coordinator and VP of Finance & Operations to ensure CLC is a smoothly operating organization. This position provides administrative, technical, and organizational support to various staff. This role is primarily in-office and 25 hours per week at $18-$20 per hour.

Duties and Responsibilities

  • Answer phones and greet visitors, effectively communicating via phone and email, in a friendly and professional manner. Direct calls to appropriate staff
  • Oversee maintenance of office and office systems such as telephones, postage, office supplies, cleaning supplies, and other office equipment.
  • Receive and sort incoming mail and deliveries and manage outgoing mail.
  • Maintain supplies on a regular inventory schedule and interface with vendors
  • Track pertinent information for all CLC hardware, equipment and CLC rental properties (3)
  • Coordinate building repairs and maintenance with property manager
  • Ensure proper systems are in place to maintain smoothly operating organization
  • Assist with new employee on-boarding
  • Assist with logistics of CLC events including internal gatherings
  • Coordinate office files and archiving schedule

Minimum Qualifications:

  • Minimum two years office related experience
  • Outstanding organizational skills
  • Ability to multitask and work collaboratively in a team-oriented environment
  • Ability to maintain attention to detail despite interruptions
  • Must possess discretion and maturity to handle highly confidential information

Preferred Qualifications:

  • Proficient in Microsoft Word, Outlook, Teams, and Excel
  • Strong organizational skills and an ability to problem solve
  • Comfort with office technology a plus
  • Spanish language skills a plus
