Administrative Assistant Position Summary Our home care agency is seeking a detail-oriented and organized Administrative Assistant to support the efficient operation of our office and enhance the delivery of exceptional care to our clients. As an Administrative Assistant, you will play a vital role in managing administrative tasks, coordinating schedules, maintaining records, and providing exceptional customer service to clients and their families.
RESPONSIBILITIES
Assist with day-to-day administrative tasks, including answering phone calls, responding to emails, and managing correspondence.
Coordinate and schedule appointments, meetings, and interviews for staff, clients, and caregivers.
Maintain accurate client records, including intake forms, care plans, and relevant documentation.
Prepare and process invoices, payments, and insurance claims.
Assist with payroll and maintain employee records, ensuring accuracy and confidentiality.
Manage and update client and caregiver databases, ensuring data integrity and accessibility.
Liaise with clients, their families, and caregivers to address inquiries, concerns, and requests.
Prepare reports, presentations, and other documents as required.
Assist with recruitment efforts, including posting job openings and coordinating interviews.
Support quality assurance initiatives, including gathering feedback and conducting satisfaction surveys.
Collaborate with other team members to ensure seamless communication and coordination.
REQUIREMENTS
Proven experience as an Administrative Assistant or in a similar role is preferred.
Bilingual in Spanish and English, must be able to communicate with clients in both languages is a plus.
Excellent organizational and time management skills to prioritize tasks effectively.
Strong attention to detail and accuracy in data entry and record-keeping.
Proficiency in office software and applications (e.g., Microsoft Office, spreadsheets, databases).
Exceptional interpersonal and communication skills, both verbal and written.
Ability to maintain confidentiality and handle sensitive information with professionalism.
Strong problem-solving skills and the ability to adapt to changing situations.
Excellent customer service skills, with a compassionate and empathetic approach.
Prior experience in the healthcare or home care industry is a plus.
High school diploma or equivalent; additional certification or training in office administration is advantageous.
