Controller Position Overview
Common Threads seeking a qualified accounting professional to serve as the leadership team member responsible for all financial, budget and audit matters, with the support of a full-time bookkeeper, senior finance consultant and the digital operations manager.
On the finance side, this position plays a central role in the development, maintenance, direction and oversight of Common Threads’ finance and accounting activities. The controller will have the responsibility for maintaining the general ledger, cash receipts/disbursements, cash management, preparation of grant and contract financial reports, month end close including reporting and audit schedules. We are looking for someone to prepare monthly financial reports (A/R, A/P, Budget updates, reconciliation, and cash flow analysis) for senior leadership, the Board of Directors and the Finance Committee.
On the administration side, this position oversees the biweekly payroll processes and is the leadership team member responsible for managing the organization’s contracted information technology function.
This is a full-time exempt position, and Common Threads is hiring one person to fill this role. Preferred location is in one of the following markets: Austin, TX; Houston, TX; Dallas/Ft. Worth, TX; Miami, FL; New York City; or Chicago, IL. This role will be a remote/work from home position (with office availability in Dallas and New York), and may include occasional travel to other Common Threads markets, as needed. Responsibilities:
- Works with the CEO and Leadership Team to ensure that the agency’s mission and objectives are attained through sound fiscal management
- With the support of the CEO and senior finance consultant, coordinates activities and serves as staff liaison to the Finance Committee
- Coordinates all financial activities, including annual audit, budget development and compliance, cash management, federal grant reporting and internal controls systems through delegation of duties to ensure proper checks and balances
- Responsible for planning and development of the accounting systems and financial statement presentations:
- Responsible for the oversight of all functions of the general ledger
- Receivable/Accounts Payable, biweekly Payroll, and Billing Coordinator functions
- Tracks and forecasts revenue and expenses to develop cash flow projections to maximize cash utilization
- Makes timely payments of debts
- Manages banking relations, negotiates rates, and secures financing, as needed
- Provides accurate and timely financial information to senior management. Oversees current status on cash, receivables, account receivables and year-to-date contributions.
- Prepares financial statements, income, expense and balance sheets. Compares budget with variance analysis and recommends corrective action. Manages gathering of expense information needed to prepare annual budget
- Supports and oversees bookkeeper in processing bi-weekly payroll, accurately accounting for all employee expenses and accurate recording into the general ledger
- Works with Human Resources and Leadership Team to manage the financial aspects of personnel, including but not limited to salary, insurance, retirement and other monetary benefits
- Works with the Development team to facilitate weekly cash receipts and check logs. Conducts monthly reconciliations with the Development team to ensure up-to-date and accurate information in Salesforce
- Provides Development staff with financial reporting for grant proposals and reports
- Supports the entire national organization through understanding and payment of facilities, including but not limited to rent and utility payments
- Provides support in administering insurance programs and retirement plan
- Maintains awareness and compliance to federal, state and city agencies
- Adheres to foundations’ submission deadlines for annual report, one-page financial statement, contribution receipts and program insurance
- Complies with legal filings for state requirements to do business, IRS 990, 1099's and other state and city documents. Schedules and coordinates annual audit by CPA firm
- Manages the organization’s information technology function, including the outsourced IT firm and in-house digital operations manager
Position Requirements:
- Excellent time management and organizational skills, including the ability to prioritize work effectively
- Strong relationship-building and customer service skills
- Management experience of a team preferred
- Superior oral and written communication
- A positive attitude and the desire to work as part of a team
- Business background or strong understanding of business/accounting operations and administration.
- Bachelor’s degree in Accounting or equivalent and five years general accounting/finance experience preferred. MBA or CPA preferred.
- Experience overseeing payroll, information technology and other operations adjacent to finance and accounting
- Government grant administration experience
- Computer literacy, including computer hardware and spreadsheet, database and accounting software
- Demonstrated experience in financial management and accounting, preferably in the nonprofit environment
- Demonstrated ability in setting priorities, proposing new ways of creating efficiencies and guiding investment in systems
- Ability to multitask while being highly detail oriented. Must be able to effectively handle multiple assignments and consult as necessary during execution
- Ability to work within a mission-driven environment to develop professional and respectful relationships with people, both internal and external to Common Threads
- Experience working with culturally diverse audiences
- Strong attention to detail, organizational, people and analytical thinking
- Proficiency in Abila and QuickBooks required; proficiency with Microsoft Office, particularly in Excel, familiarity with Google Drive a plus;
- Experience and/or high comfort level working virtually with internal and external team members
