Title: Executive Assistant/Billing Manager
Hours: 4-5 hours per day/5 days per week
Wage: $18-$21/hour DOE
SUMMARY OF POSITION:
The basic function of the Executive Assistant/Billing Manager is to provide support to the executive director. This position is responsible for monthly billing activities and oversees EzChildTrack billing system and all related reports and spreadsheets.
ESSENTIAL DUTIES & RESPONSIBILITIES:
· Provide support to the executive director.
· Build and maintain program registration, activities, and billing in EzChildTrack.
· Assist CAP’s remote specialist in generating reports and accurate statistical information as needed to executive director, including but not limited to, building and maintaining a variety of spreadsheets, monthly and annual reports as well as grant-writing data.
· Reconcile and posts tuition hours.
· Track enrollment, food count, scholarship and other program information.
· Facilitate DHS billing and collection procedures.
· Provide support in the review process of registration forms and billing information.
· Provide support in program inquires and resolve billing issues.
· Provide clerical duties and general support of all office co-workers.
· Oversee site set-up supplies/materials per Office of Child Care (OCC) rules and regulations for each program, i.e., school year and summer.
· Attend meetings with Executive Director as requested.
· Perform other duties as assigned.
QUALIFICATIONS:
Position requires ability to multi-task both in prioritizing and organizing/managing time effectively, accuracy with attention to detail, aptitude for working with computers, and proficiency with the Microsoft Office Suite and advanced knowledge of MS Excel is a must. Additionally, the position calls for the understanding of basic accounting principles, fair credit practices and collection procedures. Must be willing to learn new skills and be open to new challenges including working well with people from a variety of different backgrounds and cultures, fostering effective organizational operations and services, building relationships with co-workers, working as part of a team, and committing to a high level of service. Must have strong knowledge of billing and financial concepts.
EDUCATION AND/OR EXPERIENCE:
Minimum of two years of higher education, related work experience and/or training; or an equivalent combination of education and experience. Accounts receivable and basic accounting skills experience is preferred. Advanced knowledge of Microsoft Office Suite, i.e., Microsoft Word, Excel and Publisher.
