We are looking for an Administrative Assistant to organize and coordinate administrative duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Administrative Assistant duties and responsibilities include: greeting visitors, directing communication between colleagues and customers, scheduling meetings and appointments, entering data, managing office supplies and equipment, and providing general administrative support to our employees. Medical/Medicaid experience a plus. Previous experience as a Front office manager or Administrative Assistant would be an advantage. A successful Administrative Assistant should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Administrative Assistant should be able to ensure the smooth running of the offices' day to day operation and facilitate effective communication across an entire office.
Responsibilities
- Serve as the contact person for Administrative Assistant duties including: mailing, supplies, equipment, mailing, errands, shopping, etc
- Schedule meetings and appointments
- Organize the office layout and order stationery and equipment
- Maintain the office condition and arrange necessary repair
- Update and maintain office policies as necessary
- Organize office operations and procedures
- Coordinate with IT department on all office equipment
- Provide general support to visitors
- Assist in the onboarding process for new hires
- Plan in-house or off-site activities, like events, parties, celebrations and conferences
Skills
- Proven experience as an Administrative Assistant
- Excellent customer Service
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, Power Point)
- Hands on experience with office machines (e.g. computers, fax machines and printers)
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements

Job Type: Part-time
Pay: $11.00 - $13.00 per hour
Expected hours: 28 per week
