Summary:
Conceptually Social is seeking an organized and efficient part time Office Administrator. This role is responsible for supporting leadership for optimal productivity. They will also be the first point of contact for new employees joining the team and as such will be setting the stage for the culture of the company. The ideal candidate will be competent in prioritizing and working with little supervision. They will need to be self-motivated and trustworthy and have a warm and welcoming demeanor.
Job Duties:
- Post Job Listings for hiring, based on the needs of various departments and send applications to hiring managers on a consistent basis
- assist in the onboarding process for all new employees with proper documentation, provide employee handbook and go over company mission statement
- Manage employees’ files on People Matter- correctly document and account for changes in roles and direct management

-Workman’s Comp Forms/ Report of Injury Forms
-Food Handler’s Permits/ Safe Alcohol Service Certs
- Fully understand and explain employee handbook to new employees and continually update and maintain any changes to the handbook as needed by ownership and/or management
- Provide Health Insurance and Enrollment Information
- Update Automobile Insurance to include necessary employees
- Assist with automobile maintenance schedules for delivery vehicles
- Oversee and coordinate community outreach efforts
- Seek and suggest company culture opportunities and events- assist with company holiday party coordination, team building activities, etc.
- Oversee Employee Calendar including birthdays and anniversaries- send out reminder emails to leadership when reviews are coming up
- Implement standard practice for birthdays/ anniversaries (ex. Cards and gifts)
- Assist purchasing manager with P&L inputs, recipe transcription to company recipe drive, Recipe input to cost analysis sheets
- Print and update recipes based on directives from Chefs - keep recipe books up-to-date
- Builds prep and EO books for corporate and social chefs weekly for seamless executions
- Additional office-based support to the team as needed, including but not limited to printing labels and menu cards, monitoring office supply levels and notifying Purchasing Manager of various needs for ordering

Maintains good working relationships with all managers, sales team, and all other staff to include culinary teams, office, operations, and service staff under the Conceptually Social umbrella.

Represent the company to clients and partners in a positive manner at all times.
