Administrative Executive Assistant
Central Accounting
Department of Finance
Hourly Wage: $20.10/Regular/Full-Time
Responsible for numerous administrative functions within the Central Accounting program. Position is responsible for bookkeeping duties for the Central accounting office. Responsible for assisting with timekeeping and reconciling payroll for program employees. Establishing and maintaining accounting records for the Central Accounting Office. Responsible for preparing and maintaining accounting records, purchase orders, travel advances/close outs, journals, and ledger maintenance/cuff account for Central Accounting Program.
Examples of Work Performed:
Provides administrative support to the Central Accounting Office.
Exercises independent judgment to make technical decisions relevant to accounts maintenance pursuant to existing policies and procedures of the Yakama Nation.
Performs general office duties including retrieve, open, sort, and distribute incoming/outgoing correspondence, ordering office supplies, records and inventory management, time keeping and basic bookkeeper duties.
Runs errands and obtains signature of routine documents. Composes routine forms and Correspondence.
Maintains and prepares accurate, up-to-date leave audit records, using iSolved.
Monitors programs expenditures and maintains cuff account using financial reports and general ledger print outs from Microsoft Dynamic 365 Finance and Operations software.
Cashiers and/or runs Central Accounting window.
Assists General Ledger and Accounts Payable employees with filing system for accounting office.
Assists Accounts payable coordinator with mailing of accounts payable checks and pick-ups.
Maintains tracking logs for journal entries and prepayments.
Completes daily deposit for verification and drops at the bank.
Knowledge, Skills and Abilities:
Knowledge of accounting principles, practices, and terminology.
Knowledge and proficiency in computer use, specifically Microsoft Office products including Word, Excel, PowerPoint, Access, Dynamics 365 Finance and Operations and iSolved.
Knowledge of tribal administrative policies and procedures.
Knowledge of Yakama Nation governmental organizations.
Ability to establish and maintain effective working relationships with employees, administrators, and the general public.
Ability to manage multiple complex projects and tasks while completing deadlines.
Ability to communicate effectively, both orally and in writing.
Ability to maintain and reconcile accounts to general ledger classify accounting transactions and prepare financial report for the office.
Minimum Requirements:
Must have a high school diploma or equivalent.
Must have excellent time and attendance record.
Must pass a pre-employment background check.
Required to pass a pre-employment drug test.
Enrolled Yakama Preference, but all qualified applicants are encouraged to apply.
Preferred Requirements:
Certificate or degree in a secretarial course study from an institution of higher learning or an approved business school or Two years of experience as an Office Assistant V or Bookkeeper IV.
