What are the responsibilities and job description for the Front Desk Receptionist/HR position at Confidential?
As a Receptionist, the incumbent will be the first point of contact for our company. The receptionist is responsible for relaying incoming and interoffice calls accordingly and providing administrative/clerical support across the organization. The Receptionist will welcome all guest and greet all who visit our premises; coordinate front-desk activities, including distributing correspondence, ordering supply, sending out communications (fire alarms, lost & found items, inspections) and redirecting phone calls.
ESSENTIAL FUNCTIONS:
· Operate telephone switchboard by relaying all incoming and interoffice calls, screen, transfer, providing information or taking messages.
· Greet all visitors courteously, determine nature and purpose of visit, and direct them to the proper person.
· Enters the visitor onto the Aurora Visitor System or manually onto the Visitor’s Logbook.
· Receives, sorts and posts all incoming mail from the U.S. Post Office and courier services (FedEx, DHL & UPS).
· Creates FedEx labels for the Human Resources Department, for all outgoing Priority or Standard packages.
· Maintains log for all received traceable packages.
· Provides clerical support to the Human Resources Department, such as creating file labels, sending birthday & anniversary announcements, maintaining parking-log and distributing decals.
ADDITIONAL RESPONSIBILITIES:
· May Perform other duties as deemed necessary by supervisor.
· Assist other departments as requested or assigned.
High School diploma, or equivalent, minimum 5-9 years of receptionist, administrative/clerical, general office practices or a combination of education, training and experience. Must be Bilingual (English/Spanish) speaking and writing skills required. Prior experience in a Human Resources Department preferred.
